Atlantic Flight Training Academy (AFTA) are recruiting for a full-time Academic Administrator to support our training management and administration team. AFTA operate a large fleet of aircraft training domestic and international cadets for some of the world's largest airlines.
This role will provide administrative and logistical support to our training management and administration team, ensuring that all student and instructor records and documentation are accurately maintained and compliant with aviation regulations.
The ideal candidate will have excellent attention to detail and organisation skills, with experience within an academic or school environment being very advantageous. The individual must demonstrate at least 2-3 year's experience as an Academic or Office Administrator in a busy environment.
KEY RESPONSIBILITIES:
* Provide administrative support to the general administration of the academy and training management.
* Provide diary and meeting support to the training management team.
* Maintain and update student and instructor training records, trackers and reports.
* Liaise with admin staff, instructors and operations staff to ensure documentation for relevant operations is completed and correctly retained.
* Assist in document control and compliance with training regulations and internal procedures.
* Coordinate scheduling of ground lessons with the CTKI and ground instructors.
* Support student onboarding and induction processes.
* Prepare and distribute course materials, timetables, and training reports.
* Answering the phone and responding to general queries from the public.
* Organising and collecting catering for visiting VIPs / Meetings / Open Day's as required
* Organising travel and hotel arrangements for training management staff as required
ESSENTIAL KNOWLEDGE / SKILLS / ABILITIES / QUALIFICATIONS:
* A minimum of 2 – 3 year's academic or office administration experience essential.
* Previous experience of working with students and / or within the aviation industry would be a distinct advantage.
* Excellent level of PC skills required. Must be proficient with Microsoft, email, PC systems, Phones, the internet and other IT systems
* Fluent English speaker
* Warm, friendly, inviting and helpful manner
* Highly organised with demonstrated planning skills and excellent attention to detail
* The ability to prioritise work and manage multiple tasks in a fast paced, dynamic environment
* Strong Communication and interpersonal skills with the ability to forge positive working relationships
* Responsible, proactive and flexible approach
* Self-driven
