Overview

Operations Manager for St Joseph’s Centre / St John of God Hospital CLG. The role involves planning, organising, directing and controlling all administrative and support services in St Joseph’s Shankill and St Joseph’s Centre, providing operational leadership in line with the St John of God Hospital CLG Strategic Plan and the ethos and values of the group.


Responsibilities

* Plan, organise, direct and control all administrative and support services in St Joseph’s Shankill and St Joseph’s Centre in an efficient and effective manner.
* Provide operational leadership to manage, review and develop services in accordance with the organisation’s strategic plan.
* Ensure compliance with Administrative, Financial and Human Resource Policies; uphold governance and risk management standards.
* Be a member of the Local Management Team with responsibility for cost-effective service provision.
* Oversee the Catering, Maintenance & Grounds, Household, and Administrative/Finance/Secretarial/ICT services and liaise with residents and families regarding communications and admissions procedures.
* Ensure facilities are safe, clean, hygienic and well-maintained, and that environmental health and food safety regulations are observed.
* Support governance structures, participate in complaints management, and coordinate risk management policy development and implementation.
* Coordinate financial and cost control activities with the Chief Financial Officer; maintain proper books of account and budgetary practice.
* Support grant funding applications and manage purchasing systems, including requisitioning and tender processes in line with policy.
* Liaise with external agencies (HSE, HIQA, EHO, NHI, insurance, legal firms, Garda Síochána, government departments, etc.).
* Provide human resources support in collaboration with the St John of God HR function, including workforce planning, recruitment, employee relations, training and development, grievances handling and Performance Development & Review processes.
* Ensure compliance with employment legislation (including equality, health and safety) and promote a positive employment relations climate.
* Coordinate recruitment, induction, probation review, and staff development; maintain HR records and payroll-related matters.
* Advise on HR policies and ensure implementation; contribute to service development in dementia care and related areas.
* Maintain confidentiality of departmental records and information; respect organisational ethics and values (Hospitality, Compassion, Respect).
* Prepare and present monthly reports to senior management and board sub-committees as required.
* Stay abreast of advances in dementia care and ensure compliance with Safety, Health and Welfare at Work Act and related policies.
* Perform other duties as reasonably assigned by the Chief Executive or designated nominee.


Qualifications/Experience/Knowledge, Skills & Abilities

* Bachelor Degree/Higher Diploma (NFQ Level 8) in management and/or healthcare or related field; evidence of ongoing professional development.
* Experience in business administration; substantial experience in operations management; healthcare experience desirable.
* Excellent organisational and time management skills with the ability to plan priorities and adapt to changing priorities.
* Strong written and verbal communication skills; ability to influence and negotiate at all levels; team leadership and collaboration abilities.
* Autonomous with strong time management; ability to meet deadlines and manage workload.
* Good working knowledge of GDPR and Information Governance requirements.
* Strong teamwork, interpersonal skills, energy and commitment; proven ability to lead and develop staff and teams.
* Experience with budgeting, financial controls and cost management.
* Familiarity with safety regulations and risk management in a care setting.


Working Relationships

Maintain effective working relationships with all staff and key stakeholders, including the Person-in-Charge/Director of Nursing, Chief Executive, Heads of Operations/Finance/Human Resources, HR Business Partners, Risk & Compliance, ICT, and management teams at St Joseph’s Centre and St John of God Hospital CLG, as well as external bodies where appropriate.


Working Week

37 hours per week, Monday to Friday, 9.00am–5.00pm on-site. Some hours outside this pattern and weekend work may be required.


Holidays

30 days annual leave; public holidays in accordance with the Organisation of Working Time Act, 1997.
