We are seeking an experienced, highly organized, and proactive Senior Office Administrator to oversee the smooth and efficient running of Head Office in Mullingar. This is a key role within the business, supporting senior leadership and ensuring our office operates to the highest professional standard.
Key Responsibilities
Ensure the day‑to‑day operations of the office run efficiently, maintaining a structured and productive environment.
Develop, implement, and refine office systems, processes, and procedures to enhance efficiency.
Serve as the primary point of contact for all office‑related queries and support needs.
Manage relationships with suppliers, service providers, utilities, and building management.
Monitor and manage office budgets, supplies, consumables, and general procurement.
Oversee all facilities management activities related to office operations.
Take responsibility for subcontractor administration and compliance documentation.
Ensure company archiving practices meet contractual obligations and maintain document control protocols.
Provide administrative support to Directors as required.
Maintain and communicate Head Office Health & Safety policies and ensure ongoing compliance.
Foster strong communication and coordination between Head Office and Site Teams.
Coordinate internal meetings, support employee event planning, and assist with client hospitality.
Requirements
5+ years’ experience in a senior administrative role.
Experience in construction, engineering, manufacturing, or a related sector is highly desirable.
Excellent communication and interpersonal skills.
Highly organised with strong collaboration skills.
Strong problem‑solving and decision‑making abilities.
Proficient in MS Office Suite.
Proven ability to manage office operations effectively.
Calm, professional, and effective under pressure.
Demonstrates initiative and the ability to anticipate needs and meet deadlines.
Discreet and capable of handling confidential information.
Positive, solutions‑focused, and a strong team player.
