Supplies Officer - UPMC Kildare Location: UPMC Kildare Hospital Job type: Permanent Overview of role: We are currently recruiting for a Purchasing Officer on a full time, permanent basis for UPMC Kildare.
Primary Duties and Responsibilities: General: Order and Product Management Take responsibility for the placing of all Purchase Orders Track all orders and ensure timely deliveries Liaise with suppliers on backorders and keep data on the availability of products in short supply Receive incoming goods into SAP, including confirming the quantities are correct and that the quality is as expected (for PO's placed by other Purchasing Officers).
Handle returns by completing documentation and other required communication Coordinate product recalls with BioMed department and Procurement Manager and Warehouse Manager Working with other departments (clinical and non-clinical) Establish professional relationships with all staff, as well as vendors and suppliers Be the main point of contact with the clinical staff on site, gathering their requirements including supporting the New Product Request process.
Provide support for AP queries Support IT and Facilities in the purchasing process in other areas as require Procurement and Inventory Management ERP (SAP) Optimisation of SAP for inventory control, MRP and reporting Maintain Min/Max levels to support MRP for all warehouses and stores Updating the Global Item Master in SAP and continuously maintaining the data in SAP to ensure it is always clean (for example vendors, prices, quantities, lead times etc).
Keep a well-maintained and updated account of stock and inventory Warehouse & Stores Management Supervise the Material Assistants on their site Coordinate with warehouse staff to ensure proper storage of items, including bar coding and bin location management in the stores.
Liaising with Purchasing Officers in other sites for Intercompany Transactions and the logistics for same.
Maintain the cleanliness of the warehouse and the stores to the highest standard.
SOPs and Training Documentation Actively participate in maintaining of SOPs to accurately reflect the day-to-day processes, and support the preparation of training material for the department Support procurement department in standardising policies and procedures to optimise the time spent by clinical staff on requisitions and following up on orders.
Comply with all certification requirements including JCI and internal UPMC requirements Professional Accountability and Development: Ensure you remain professionally updated and ensure care in all areas is delivered in line with the latest research to promote evidence-based practice.
Actively participate in research where appropriate for the benefit of patients.
Provide a supportive and learning environment in the Hospital, which enables the educational and professional development needs of staff to be met.
Ensure that statutory rules, guidelines and legislation are understood and complied with.
Ensure that standards of care are safeguarded, and all staff are aware of the need for patients and clients.

Quality & Audit: Participate as required in clinical audit and research activity within the field, promoting a positive attitude towards the implementation of evidence- based practice.
Undertake research/ clinical audit as necessary, critically analyse and provide written reports of the same.
Participate in local audits in preparation for annual accreditation.
Work closely with the Quality and Patient Safety team, ensuring the department is meeting accreditation standards at all times.
Health and Safety: To uphold UPMC Kildare Hospital's policy requirements in relation to Fire, Infection Control and Health and Safety at Work regulations and to attend updates.
Identify potential risks for all staff, patients and visitors and adhere to relevant incident reporting procedures.
To observe a general duty of care for the health, safety and well-being of self, work colleagues, visitors and patients within the hospital, in addition to any specific risk management associated with this post.
Qualifications & Experience: Eligible Criteria: Related experience in a warehouse environment would be a distinct advantage.
Must have strong communication skills, both verbal and written.
Good organizational skills, able to prioritize and manage competing priorities, detail oriented and quality focused.
Ability to complete paperwork accurately following good documentation practices.
Ability to perform basic math calculations including adding, subtracting, counting, and measuring.
Critical thinking and problem-solving skills required.
Must be able to work with minimum supervision by following detailed instructions.
Work in a team environment, including exchanging information related to performing required tasks with colleagues and with internal customers, as well as with vendors and carriers.
Ability to organise the logistics of multiple sites (if required) Good I.T skills required, (Excel, Outlook, and Word); good working knowledge of warehouse inventory systems (SAP would be a distinct advantage) Strict attention to detail and accuracy.
Full Clean driving license.
Experience of working within a hospital warehouse department is desirable.
