We are recruiting a Property Administrator on a specific purpose contract. The role focuses on maintenance management for our property portfolio, including coordinating requests, tracking work orders, managing vendors, and ensuring efficient maintenance operations to maintain property quality and functionality.
Principal Duties & Responsibilities:
1. Maintenance Coordination: Serve as the contact point for maintenance requests, schedule and follow up on work orders, and prioritize needs to minimize disruptions.
2. Vendor Management: Coordinate with vendors, assist with quotes and contracts, and maintain a database of reliable contractors.
3. Work Order Management: Track maintenance requests, ensure proper documentation, and update management systems.
4. Preventive Maintenance: Schedule routine maintenance and monitor safety systems.
5. Retail & Service Team Relations: Communicate maintenance updates and handle concerns promptly.
6. Property Inspections: Conduct inspections, prepare reports, and coordinate repairs.
7. Budget and Billing Support: Track expenses, process invoices, and ensure budget compliance.
Additional tasks may be assigned as needed.
Candidate Requirements:
* 1+ years of administrative experience in maintenance, facilities, or property management (retail experience is a plus).
* Understanding of maintenance procedures and vendor management.
* Excellent organizational skills and attention to detail.
* Proficiency in Microsoft Office; Salesforce familiarity is a plus.
* Strong communication skills, both written and verbal.
* Ability to manage multiple tasks in a fast-paced environment.
* Customer service orientation and commitment to maintenance excellence.
