The role involves coordinating details, supporting clients and suppliers, and helping to ensure each event runs smoothly and reflects the property's signature style and high standards.Key ResponsibilitiesEvent Planning & CoordinationSupport the Wedding & Events Manager in coordinating weddings, corporate functions, and private events from inquiry through post-event follow-up.Assist in preparing event documentation including timelines, floor plans, and function sheets.Coordinate with culinary, banqueting, and operations teams to ensure event details are executed seamlessly.Maintain up-to-date event files and administrative records in line with department procedures.Provide on-the-day operational support to ensure smooth execution and an outstanding guest experience.Client Relations & Sales SupportAssist and conduct in conducting property tours and client consultations under the guidance of the Wedding & Events Manager.Support in preparing proposals, contracts, and billing documentation.Respond to client queries promptly and professionally, maintaining the highest standard of customer care.Contribute to the promotion and upselling of estate services such as accommodation, spa, and dining experiences.Supplier & Stakeholder CoordinationLiaise with approved vendors as directed by the Wedding & Events Manager.Ensure clear communication between internal teams and external partners for all event requirements.Support in monitoring vendor performance and ensuring adherence to estate standards.Event ExecutionProvide hands-on assistance during event set-up and breakdown.Support the coordination of service teams during live events to ensure a smooth flow of operations.Anticipate client and guest needs, providing solutions with professionalism and discretion.Post-Event AdministrationAssist in gathering client feedback and tracking event outcomes.Maintain event photography and materials for marketing and promotional purposes.Contribute to post-event reporting and continuous improvement initiatives.This job description is not intended to be either prescriptive or exhaustive, it is issued as a framework to outline main areas of responsibility at the time of writing.Required Experience & SkillsMinimum 1-2 years' experience in event coordination, hospitality, or administrative support within a 4- or 5-star environment preferred.Excellent organizational and time management skills with a keen eye for detail.Strong communication and interpersonal abilities; confident engaging with clients.Calm, professional, and solution-focused under pressure.Proficient in Microsoft Office Suite and property management systemsFlexibility to work evenings, weekends, and holidays in line with business demands.Eligibility to work in Ireland.The Grace Westport Estate is an equal opportunity employer.
