Role Overview

This is a multi-functional role ideal for someone with strong organisational skills, excellent communication, and the ability to handle routine tasks with a high level of accuracy. The successful candidate will work closely with our management and finance teams, as well as liaise with suppliers and customers to ensure projects and paperwork flow smoothly.

Key ResponsibilitiesOffice Administration

* Manage and triage general email inquiries
* Answer and direct phone calls appropriately
* Greet visitors and manage delivery logistics
* Open and manage yard gate access for trucks and deliveries

Purchasing & Supplier Coordination

* Request and compare material quotes
* Select suppliers based on price, availability, and reliability (within scope)
* Create purchase orders and verify incoming deliveries
* Track and maintain material traceability for audits

Document & Project File Management

* Maintain up-to-date project files (digital and physical)
* Organise material certs, POs, and delivery documents
* Assist with CE marking and audit documentation
* Maintain H&S and insurance documentation

Finance & Bookkeeping Support

* Log and organise supplier invoices
* Assist with payment tracking and invoice approval workflows
* Follow up on late payments from customers
* Support payroll prep by checking and logging staff timecards

Compliance & Quality Support

* Assist with CE and quality audit documentation
* Check supplier certifications for compliance
* Track machinery and equipment inspections

Internal Support

* Provide administrative support to Joe and Kieran
* Coordinate filing, records, and documentation across teams
* Prepare tasks and documents for the finance team

Skills & Qualifications

* Proficiency in Microsoft Office (especially Excel & Outlook)
* Strong organisational skills and attention to detail
* Ability to prioritise and manage routine tasks independently
* Experience with QuickBooks (preferred but not essential – training provided)
* Familiarity with Tekla PowerFab (training provided)
* Basic understanding of supplier documentation and traceability standards
