Job Overview:
We are seeking a detail-oriented and proactive Share Plans Controller to assist with the management and oversight of our employee share plans. This is a pivotal role within our Company Secretarial and Governance team, working under the direction of the Assistant Company Secretary to ensure the smooth operation, compliance and reporting of both global and local share incentive schemes. The role will involve significant collaboration and support, while contributing to the successful administration and execution of share plan activities. A strong background in share plan administration is essential.
Key Responsibilities:
* Maintain and update employee records within the share plan platform.
* Administer a variety of employee share plans (e.g., APSS, PSPs, PSUs and DBSs) ensuring accuracy and compliance with the relevant regulations, and alignment with corporate governance standards.
* Ensure accurate and timely processing of share plan transactions, including grants, exercises, vesting and releases.
* Track key share plan milestones and deadlines, proactively managing timelines for grant issuance, vesting schedules, expiries and reporting requirements.
* Provide support and guidance to employees regarding share plan queries and related matters, ensuring clear communication and understanding.
* Provide regular and ad-hoc reporting and analysis on share plan participation, grant, vesting and exercise schedules and more.
* Collaborate with internal teams (HR, Payroll, Tax and Finance) and external vendors (brokers, trustees, plan administrators) to ensure seamless operation of share plans.
* Assist with corporate governance activities as needed, working closely with the Company Secretarial team to support compliance with statutory obligations, board meeting preparation, and the maintenance of corporate records.
* Participate in audits and ensure data integrity across systems related to share plans and governance activities.
Qualifications:
Education:
·Bachelor’s degree in business administration, law or a related field is an advantage.
·Experience with platforms like EquatePlus, Equiniti, Global Shares or similar is essential.
Skills:
·At least 3+ years of experience working in share plan administration.
·Familiarity with working with employee equity plans such as APSS and share options.
·Strong numerical and analytical skills with keen attention to detail.
·Ability to manage multiple tasks and deadlines in a fast-paced environment.
·Exceptional communication and interpersonal skills, with the ability to engage with diverse teams and stakeholders.
·High attention to detail, with the ability to ensure data accuracy across all tasks.
·Ability to handle confidential information with discretion and professionalism.
