We are currently seeking a highly organized, detail-driven Wedding & Sales Administrator to join our dedicated team.
Job Overview
The Wedding & Sales Administrator will provide essential administrative and coordination support to the Sales Department. This role is focused on ensuring that all wedding and event enquiries, bookings, and planning processes are managed smoothly and efficiently. You will act as a key support for the Weddings Manager and Sales Team, ensuring seamless communication between couples, suppliers, and internal departments.
Key Responsibilities
* Provide administrative support for all wedding and event enquiries, bookings, and client communications.
* Prepare and maintain accurate wedding files, contracts, proposals, and function sheets.
* Manage the diary of wedding appointments, showgrounds, and client meetings.
* Act as a point of contact for couples, ensuring all enquiries are responded to promptly and professionally.
* Support the Weddings Manager with planning timelines, checklists, and documentation for each wedding.
* Coordinate with the operations team to ensure all details are communicated clearly and on time.
* Assist with preparing reports, sales figures, etc.
* Support the sales team with follow-up emails, quotations, and general sales administration.
* Liaise with suppliers and vendors to confirm arrangements and maintain strong working relationships.
* Assist with promotional activities, including updating brochures, wedding packages, and occasional support with marketing campaigns.
* Provide a warm and professional welcome to visiting couples and clients.
Requirements
* Previous experience in an administrative or event support role, ideally within hospitality or weddings.
* Excellent organizational and time-management skills with strong attention to detail.
* Professional communication skills, both written and verbal.
* Ability to work on multiple tasks simultaneously in a fast-paced environment.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Warm, professional, and polished demeanour with a passion for customer service.
* Flexible approach to working hours, including occasional weekends.
