Reports to: Directorate Support Supervisor
Salary: Appointment will be made on Grade IV Officer €35,256 to €54,370 LSI
Hours of work: Full time 35 hours per week

Position Summary:
The successful candidate will assist in providing effective, consistent, and efficient administrative support, including proficient typing skills. The role includes cross-cover within the Neurocent Directorate as required, working as part of a team, and contributing to the modernization and development of referral pathways. Responsibilities include interface with patients, GPs, and hospital colleagues via telephone and correspondence.
Other duties may include (but are not limited to):
* Patient registration support
* Assisting with timely typing of clinical correspondence, covering secretary absences
* Flexible working as per service demands
* Providing administrative and clerical support to the Directorate
* Assisting in planning, coordinating, and directing daily operations
* Working towards Directorate KPIs and objectives in collaboration with supervisors and managers
Responsibilities
Registration
* Receive, process, and track referral letters in line with policy
* Prioritize referrals according to protocols and notify supervisors of issues
* Coordinate with clinicians on referral triage and prioritization
* Ensure referral management complies with national protocols and foster good multidisciplinary relationships
Booking
* Implement partial booking process, contacting patients and issuing letters
* Maintain chronological booking and pooling of referrals
* Use a Primary Targeting List to ensure waiting times are met
* Calculate capacity, manage waiting lists, and handle complex calls
* Notify patients of cancellations and rebook as needed
Good Practice
* Acknowledge all referrals upon receipt
* Handle patient contact sensitively, respecting data protection laws
* Monitor and validate waiting lists regularly
* Ensure compliance with infection control standards
* Provide cover for other administrative roles as required
* Identify improvement opportunities and assist in service development
Qualifications
Selection Criteria
Applicants should demonstrate the following qualifications, skills, and experience:
* Experience as a Clerical Officer in the HSE or equivalent
* Or relevant educational qualifications, such as a pass in at least five subjects including Mathematics and English/Irish, or an equivalent qualification
Additional criteria include:
* High standard of suitability, health, and character
Desirable Skills
* Excellent MS Office skills, including Word
* High-speed typing (45 WPM)
* Hospital experience
* Knowledge of health service operations, communication, organizational skills, and teamwork
