Job Description Job Title: M365 Administrator Department: IT Reports to: IT Manager Date: 2025 Overall Purpose of Job: The M365 Administrator is responsible for the effective management, administration and support of the hospitals Microsoft 365 environment.
The role ensures secure, reliable and efficient operation of Microsoft 365 services including Exchange Online, SharePoint Online, Teams and OneDrive.
The post holder will provide user and license administration, manage updates, ensure compliance with security frameworks and deliver technical support.
The M365 Administrator will also contribute to planning and implementation of new M365 solutions, supporting adoption and training to maximise the value of Microsoft 365 across the hospital.
Key Responsibilities and Deliverables: User and License Management Provision and deprovision user accounts, assign licenses and manage user properties within Microsoft 365 Ensure accurate and efficient user identity and access management in line with hospital policy Application and Service Administration Manage and maintain Exchange Online, SharePoint Online, Microsoft Teams, OneDrive and other M365 applications Support configuration and administration of Microsoft Power Platform components including Power Automate and Power BI Security and Compliance Implement and enforce security policies including multi-factor authentication, data protection and information governance standards Monitor compliance with hospital, national and international regulatory frameworks including GDPR, NIS2 and JCI requirements Technical Support and Troubleshooting Respond to support tickets and escalated issues relating to M365 services Perform advanced troubleshooting and ensure timely resolution to maintain service availability Deployment and Updates Deploy service updates and feature releases across the Microsoft 365 environment Plan and implement change activities in line with IT governance and hospital policy Strategic Planning and Implementation Contribute to the hospitals M365 roadmap by identifying opportunities for improved use of Microsoft 365 services Support planning and delivery of migration from legacy platforms into Microsoft 365 Training and Adoption Assist in the development of end-user training materials and deliver training sessions to improve adoption of M365 tools Promote awareness and best practice use of collaboration and productivity solutions System Health and Monitoring Monitor the health and performance of the M365 environment, ensuring continuity and service optimisation Maintain proactive monitoring and reporting mechanisms to support incident prevention and resolution Person Specification Qualifications Bachelors degree in IT, Computer Science or related discipline Microsoft 365 or Azure certifications (e.g. MS-100/101, Azure Administrator) desirable Relevant IT support or system administration certifications an advantage Experience Proven experience in administration and support of Microsoft 365 environments including Exchange Online, SharePoint, Teams and OneDrive Experience with Azure Active Directory, identity management & role-based access control Experience providing IT support, troubleshooting and training for enterprise users Exposure to Power Platform tools such as Power Automate and Power BI desirable Job Specific Competencies and Knowledge Strong technical knowledge of Microsoft 365 architecture, security and administration Understanding of compliance, data governance and cybersecurity principles relevant to healthcare Proficiency in troubleshooting, monitoring and maintaining enterprise-level IT systems Knowledge of ITIL principles and service management best practice Personal Competencies Strong analytical and problem-solving skills with a proactive approach to issue resolution Clear and confident communication skills with ability to explain technical issues to non-technical staff Collaborative approach with ability to work effectively across IT and clinical teams Commitment to continuous learning and keeping up to date with Microsoft 365 developments This job description is intended to be an outline of the areas of responsibility and deliverables at the time of its writing.
