To oversee office operations to ensure smooth functionality of office and clinic activities, sales, systems, management and coordination of team, facilities, client accounts, correspondence and administrative tasks.
Key responsibilities include optimizing office and sales procedures and tasks, providing administrative support to senior management and out front team, and fostering a positive work environment. Strong organizational, communication, problem-solving, attention to detail, and multitasking skills, with technical proficiency in Microsoft Office suite, and experience in sales and people management essential.
Key Responsibilities;
* Office Operations: Manage the day-to-day flow of the clinic, including scheduling, correspondence, customer service, record-keeping, and ensuring adherence to company policies.
* Sales: Provide sales support at reception, online and manage sales records and system.
* Administrative Support: Assist management with various administrative tasks, such as preparing reports, managing calendars, rotas, and co ordinating meetings.
* Team Management: May involve recruitment, training, performance evaluations, and addressing disciplinary issues for office team.
* Supply & Facilities Management: Oversee office supplies, IT equipment, and facilities maintenance.
* Marketing and sales; Ensure all products are input and priced correctly, carry out market research as relevant.
* Customer Service: Ensure customer service is 100% .
* Communication: Act as a central point of contact, handling internal and external inquiries, complaints, and correspondence.
* IT Support: Liaise with the IT department for equipment and software needs and assist with onboarding new employees.
* Organizational & Planning Skills: To manage schedules, maintain databases, and organize tasks efficiently,
* Communication Skills: Excellent written and verbal communication for managing correspondence and interacting with staff and clients.
* Problem-Solving: The ability to address issues as they arise and make informed decisions.
* Multitasking: Managing multiple responsibilities and priorities simultaneously.
* Technical Proficiency: Familiarity with Microsoft Office suite and other relevant administrative software.
Experience in Online sales, and people management.
