The facilities assistant will support day-to-day facilities operations with a focus on safety, operational excellence, and customer and client satisfaction.
Job Responsibilities
* Conduct daily rounds and monitor all M&E systems; perform daily inspections of meeting rooms and common areas to ensure readiness, report issues, and address cleaning and stock level concerns. Manage stationary checks, restock upon request, and place weekly orders. Handle key boxes and issue keys for vital meetings.
* Set up meeting rooms and support office relocations and re-layouts.
* Assist with PPM activities, energy, waste, and cleaning checks across the site.
* Receive large or bulky items and transport them to designated locations.
* Maintain the orderliness of open office areas.
* Transport heavy parcels, equipment, and miscellaneous items as needed.
* Perform ad hoc tasks as assigned by the FM Coordinator or Regional Facilities Manager.
* Oversee the overall function of the Facilities Assistant role within the center.
* Manage couriers, mail, and postal activities.
* Supervise and coordinate third-party contractors and inspect their work.
* Maintain visitors and contractors logs and report incidents.
* Execute emergency procedures during incidents such as fire, flood, break-in, or accidents.
* Ensure compliance with health and safety regulations, inspect signage, and report defects.
* Maintain the fabric and finish of the site in good condition.
* Act as the first responder for relative FM and reactive tasks within the center.
Qualifications
* Minimum of 2 years’ experience in a similar facilities role.
* Excellent communication, interpersonal, and organizational skills.
* Effective verbal and face-to-face communication skills are essential.
* Strong planning and prioritization skills to manage multiple duties.
* Ability to complete tasks accurately and timely.
* Experience working in a fast-paced office environment.
* Some experience in a lively mailroom environment.
* Educated to Leaving Certificate level.
* Proficiency in MS Office (Word, Excel, PowerPoint).
* Basic understanding of health and safety practices.
* Experience with mailroom equipment and international courier systems.
