Main Purpose of the Role
The Depot Supervisor is responsible for leading and managing the depot team to deliver excellent sales and service to customers. They oversee all day‑to‑day depot operations, including delivery, driver liaison and credit control. A key focus for the Acting Depot Supervisor is to ensure that the depot team understand and fully comply with all health and safety policies.
Key Accountabilities: Health, Safety & Security
Ensure depot staff work in a safe and secure environment that protects employees and customers.
Conduct Depot Induction and refresher training for all team members including part time and temporary staff.
Ensure all depot team members adhere to all health & safety, operational and security policies and procedures.
Identify and bring to the attention of management any deficiencies in safety or security and make recommendations for improvement where appropriate.
Key Accountabilities: People Management
Leadership and motivation of the depot team to deliver optimum performance.
Foster a highly engaged culture where staff feel appreciated for their efforts and are comfortable to raise ideas or concerns.
Recruit, select, on‑board, and train new recruits.
Organise all depot operations, allocate responsibilities and supervise for completion.
Provide team evaluation, mentoring and training to improve skills, address issues and plan personal and professional development of depot team.
Optimise sales through establishing customer rapport and identifying current and future customer requirements.
Maximise cross sales and bulk sales opportunities from yard sales.
Ensure calls are managed to deliver a great customer experience and grow sales.
Engage with both the large commercial and small commercial teams on opportunities identified.
Analyse sales trends, prepare forecasts and drive cross sales across the depot to deliver target.
Provide excellent customer service and resolve escalated complaints.
Proactively manage the depot customer base to minimise bad debts.
Establish strong working relationship with Credit Control.
Identify risk from the debtor’s list and actively address.
Encourage domestic delivery customers to opt in to a Budget Plan account or pay by COD.
Maintain clear and accurate records.
Key Accountabilities: Depot Operations
Track and maintain adequate stock levels at all times and ensure stock records are kept up to date.
Ensure that all yard fuel dispensing equipment is kept clean and in good working order for customers.
Work hand in hand with the Drivers to ensure smooth running of depot deliveries.
Monitor Drivers End of Day activities to ensure all procedures are followed.
Ensure depot stocks are reconciled on daily basis.
Investigate discrepancies and advise senior management of any issues.
Knowledge, Skills & Experience:
Business Knowledge
Proven experience in a Retail Management or similar role.
Experience in some or all the following: team supervision, sales, customer service, health & safety.
Commercial acumen, identifying sales opportunities, driving volume and margin KPIs.
Strong analysis, planning and organising skills.
Ability to operate basic business / Retail software programs.
Functional / Technical Skills
Excellent communication and interpersonal skills.
Strong people leader who enjoys motivating and developing people.
Decisive problem solver with sound judgement.
Knowledge of the fuel industry an advantage, but not essential.
