TTM Healthcare are proud to partner with our client in the Public Sector to recruit a Temporary Grade III Clerical Officer for an initial 6 month contract.
Location: Ballinasloe
Hours: 9am to 5pm, Monday to Friday, 35hours per week
Pay: is in line with Public Sector – €16.87 - €26.77 per hr depending on previous relevant public sector experience.
Key Responsibilities:
* Assist with the preparation, processing, and filing of HR-related documents including contracts, letters of offer, and recruitment paperwork.
* Maintain personnel files in compliance with data protection regulations.
* Input and maintain payroll information on the Integrated Financial Management System (IFMS).
* Assist with pay-related queries and ensure data accuracy in submissions.
* Monitor stock levels and place orders for office supplies, stationery, and equipment as required.
* Liaise with suppliers to ensure timely and cost-effective procurement.
* Collect, verify, and upload staff timesheets accurately and on schedule.
* Process purchase orders and supplier invoices through the appropriate financial systems.
* Ensure all invoice documentation is complete, accurate, and compliant with policy.
* Maintain and update databases, spreadsheets, and internal systems to ensure records are current and accessible.
* Compile reports as required by management.
* Receive, sort, and distribute incoming mail and manage outgoing correspondence efficiently.
* Act as the first point of contact for internal and external queries, providing professional and courteous service.
* Direct queries to appropriate departments or escalate where necessary.
Essential Requirements:
* Excellent organisational and time management skills
* Strong attention to detail and accuracy
* Proficient in Microsoft Office (Word, Excel, Outlook)
* Familiarity with IFMS or other payroll/financial systems
* Ability to handle confidential information with discretion
* Good interpersonal and communication skills
* Team player with a flexible and proactive approach
