Location: Tallaght clinic, Dublin
Working hours: 4 days per week – 28 hours
Key Responsibilities

Reception Duties- Welcome and greet clients and visitors.- Answer phones adhering to IFPA telephone etiquette.- Book appointments for contraception, early medical abortion, and cervical smear with appropriate staff.- Open and close the clinic according to IFPA procedures.
Client Diary Administration- Register new clients and update existing records in the Helix electronic client diary system.- Set up appointment schedules consistent with the doctor/rota, including appointment length and account types.- Monitor Helix appointments to ensure capacity utilisation.- Respond to Helix “tasks” and monitor clinic email.
General Office Duties- Data entry, appointment scheduling, and clinic preparation.- Handle clinic documents, photo copying, and scanning.- Liaise with patients to provide clinic information and manage queries.- Ensure availability of requested documents, tests, and results.- Process client payments and medical card applications through Helix.- Liaise with clinical staff and management to maintain quality care.
Stock Control- Monitor and order office supplies (stationery, printer ink, paper, envelopes, postage stamps).- Manage cleaning supplies and medical/clinical supplies, including PPE, EMA drugs, tests, and procedure kits.

Qualifications

Proficiency in general administration, cash handling, electronic payments, and diary management.
Excellent oral and written English communication skills.
Familiarity with online systems/processes, social media, and other applied technology communication tools.
Previous experience in a healthcare setting, particularly women’s health services, is desirable.
Ability to engage empathetically and appropriately with clients while maintaining professional boundaries.
