Overview
Executive Assistant – Fixed-term role at UPMC Aut Even Hospital, Kilkenny.
Works closely with a C-Suite executive, combining traditional PA duties with project, quality and administrative support.
Responsibilities
Manage executive diary, scheduling and travel arrangements.
Prepare briefing materials, agendas and follow-up actions for meetings.
Gatekeeper for communications, ensuring prioritisation and confidentiality.
Coordinate board-level communication and arrangements.
Assist with cross-functional projects and executive communications.
First point of contact for internal and external stakeholders.
Produce high-quality documents, presentations, reports and correspondence.
Support complex travel and transportation for the executive team.
Coordinate events, meetings and logistics.
Maintain discretion and confidentiality at all times.
Participate in audit and research activities, promoting evidence-based practice.
Qualifications
5+ years of general administration experience.
Strong attention to detail, organisational skills and interpersonal communication.
Excellent communication skills with C-Suite management, consultants, staff and external agencies.
Team player with initiative, time-management and ability to thrive under pressure.
Proficient in Microsoft Office Suite, collaboration tools such as Slack and early adopter of AI efficiency tools.
Desirable: 5+ years experience in a healthcare environment.
