About the Role
Reporting to a senior litigation partner and working closely with colleagues across the Litigation team, the Secretary will support solicitors and the wider litigation team in the day to day administration of working in a busy and market leading litigation department. This is an exciting, challenging and highly rewarding role. Primary responsibilities include:
* Drafting and issuing inter partes correspondence
* Assisting with trial preparation
* Diary management and ensuring court deadlines are met
* Monitoring and circulation of hard copy post and other documents
* Scheduling meetings and conference calls (external and internal)
* Business travel preparation
* Drafting of standard and non-standard documents including engagement letters and s.150 letters
* Liaising with team members for outstanding prebills, timesheets, answers to queries
* Assisting with all aspects of billing and liaising with clients as may be required
* Liaising with Conflicts Team to conduct conflict searches
* Making requested amendments to documents and preparing redline and amended documents
* Assisting with drafting / formatting pleadings and other legal documents
* Preparing hearing booklets (physical and electronic)
* Assisting with file closing, archiving
* Other ad hoc tasks as required - e.g., ensuring files and filing are up to date in real time, finding documents in the system; research requests to the library; general fact finding; and sorting IT problems etc.
EXPERIENCE
What You Bring
In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following:
* 3 years prior secretarial experience in a litigation department or litigation firm
* Experience in drafting legal documents
* Working knowledge and familiarisation with the court system (particularly Superior Courts including the Commercial Court)
* Experience in all aspects of billing
* Knowledge of Microsoft Office, in addition to: ADEX, Adobe, iManage, Excel Innova, InterAction, Visio and PowerPoint would be an advantage
* Excellent interpersonal and communication skills, both written and verbal
* Effective prioritization and organisational skills with experience of diary management, meeting scheduling and coordination of travel arrangements
* Prior experience in taking, typing and distributing accurate correspondence with precision and attention to detail
* Ability to handle a large and varied workload
* Team player
* Strong work ethic and ability to maintain the highest standards of confidentiality
* Ability to consistently deliver accurate high-quality work while managing competing demands and deadlines
