Position Overview

The Service Centre Administrator serves as the operational backbone of the service centre, providing essential administrative support while delivering exceptional customer service across all touchpoints. This dynamic role combines front-line customer interaction with comprehensive back-office coordination, managing everything from quotations and technical inquiries to workshop repairs and training administration. The position holder acts as a vital link between customers and internal teams, ensuring seamless communication flow while maintaining high standards of efficiency and accuracy. Working collaboratively across departments including technical services, warehouse, and training, the administrator plays a crucial role in driving customer satisfaction and operational excellence through proactive support, timely reporting, and adherence to company standards and safety protocols.

What You Will Be Doing:

Administrative Support:

* Provide comprehensive administration support to the factory service centre
* Ensure high levels of quality, efficiency, and consistency in all administrative functions
* Prepare and submit monthly reports and management KPIs on schedule
* Maintain accurate records and follow all department processes and procedures

Customer Service:

* Handle customer support and assistance for general, technical, and internal queries
* Respond promptly to telephone and email inquiries
* Coordinate quotations for customers using the system
* Resolve customer delivery and collection queries efficiently
* Provide proactive support for workshop repairs and training requirements

Operational Support:

* Support warehouse functions during peak operational periods
* Assist with booking in and packing of workshop repairs, including parcel consignment
* Maintain and update carrier delivery/collection logs and spreadsheets
* Coordinate with training department for training-related queries
* Liaise with service supervisors and technicians to ensure timely email responses

Daily & Monthly Tasks

* Complete quotations on the system
* Update daily operational reports
* Coordinate with service, technical, and warehouse teams
* Maintain carrier tracking spreadsheets
* Contact customers regarding service and training needs
* Compile and submit department reports
* Prepare training reports and customer-specific reports
* Review and analyse service KPIs
