Facilities Coordinator - UPMC Sports Surgery Clinic, DublinLocation: UPMC Sports Surgery Clinic, Santry, Dublin 9.Job type: Full-time Contract of EmploymentPrimary Duties and Responsibilities: •Provides comprehensive administrative support to the Facilities team including handling correspondence, filing, data entry and data monitoring and general office duties•Coordinates and manages diaries for senior team members, scheduling internal and external meetings, visits and events.•Organizes meetings in person and via Teams, ensuring accurate records are maintained and actions are tracked and followed up. Minute taker for relevant meetings.•Organizes specific training events as requested and records attendance.•Assumes ownership of the Facilities 'Flex' IT system by monitoring issues logged, coordinating responses, follow up and updating Facilities response as required. Manages dashboard daily and reports any anomalies to line manager.•Provides a welcoming work environment to all new employees. Ensures ID badges are available for all new staff in a timely manner. Troubleshoots any issues. •Oversees the car park telephone and addresses patient/visitor/reception queries in a timely manner. •Communicates effectively and efficiently with colleagues/visitors/patients. Addresses complaints immediately and escalates to manager as required.•Ensures mandatory training records are up to date for the department. Responsible for ensuring own mandatory training is completed and in date.•Supports a collegial workplace by promoting a positive and healthy work environment that facilitates teamwork. Treats colleagues, patient /visitors with dignity and respect at all times. •Demonstrates behaviours consistent with the clinic values, policies and procedures and forges good working relationships with all colleagues.Qualifications & Experience:Leaving Certificate or equivalent.Excellent verbal and written communication skills.High level of discretion in dealing with confidential information.Demonstrated multi-tasking & deadline target completion abilityDemonstrated time management skills. Excellent interpersonal communication skills and a high capacity for responsibility and individual initiative.Self-directed and an ability to work independently. Has a positive can-do attitude and attention to detail.
