About the Role
We are seeking a highly organized, motivated Executive Assistant to support the directors of a fast-growing events and hospitality company operating multiple venues in Dublin. This is an in-person, hands-on role and a great opportunity for someone early in their career to gain real exposure to business operations, events, and entrepreneurship.
You will work closely with the directors on daily operations, logistics, scheduling, and long-term projects, including setting up new businesses and venues. The role will sometimes involve travel and working weekends during busy event periods.
Key Responsibilities Executive & Administrative Support
* Manage the CEO's calendar, meetings, site visits, and priorities
* Coordinate meetings with staff, suppliers, partners, and stakeholders
* Handle inbox management, follow-ups, and task tracking
* Prepare notes, action lists, and operational summaries
Projects & Business Development
* Support long-term projects such as launching new venues or business concepts
* Track timelines, milestones, and deliverables across projects
* Assist with planning, research, and coordination for new initiatives
Scheduling & Logistics
* Assist with staff scheduling across multiple venues
* Coordinate event logistics, timelines, and operational checklists
* Provide on-site support during events when required
Purchasing & Operations
* Research, order, and track supplies and equipment
* Liaise with vendors and service providers
* Help monitor inventory needs across venues
Marketing & Social Media Support
* Assist with social media scheduling and coordination
* Support marketing calendars, promotions, and campaigns
* Help with content posting and basic engagement
Cross-Venue Support
* Work across multiple locations and projects simultaneously
* Adapt quickly to changing priorities and operational needs
* Take ownership of tasks from start to finish
Requirements & Qualifications Essential
* Based in or able to commute to Dublin
* Strong organizational and time-management skills
* Excellent written and verbal communication
* Ability to manage multiple priorities in a fast-paced environment
* High attention to detail and strong follow-through
* Comfortable working in person, with occasional travel
* Flexibility to work weekends during peak event periods
Desirable (Not Mandatory)
* Full, clean driving licence
* Interest in events, hospitality, or business operations
* Experience with scheduling, logistics, or project coordination
* Familiarity with social media platforms (Instagram, TikTok, etc.)
* Comfortable using tools like Google Workspace, Notion, Asana, or similar
