Job Purpose
The Estates Services Manager is responsible for managing the operational delivery and oversight of estate management services across residential properties owned or managed by Respond. This includes overseeing contracts related to landscaping, waste management, cleaning, security, and other estate services, ensuring these services meet legislative and quality requirements, provide value for money, and contribute to creating vibrant communities for Respond tenants.

Main Duties / Responsibilities
Strategic Planning & Development: Contribute to the strategic planning of estate management services and future contract procurement, identify opportunities for service improvements and implement innovative solutions.
Contract Management & Oversight: Develop, implement, and manage contracts for estate services, ensuring adherence to performance standards, budgetary constraints, liaise with contractors, conduct regular reviews, and ensure compliance with KPIs and Respond policy.
Budget & Financial Management: Prepare, manage and monitor budgets for estate services, control costs, approve invoices, review financial reports, and forecast future budget needs.
Quality Assurance & Compliance: Ensure compliance with health, safety, environmental regulations and housing quality standards, monitor and report on service levels, and resolve complaints.
Tenant Liaison & Communication: Act as the main point of contact for tenants, respond to queries, conduct satisfaction surveys, and gather feedback.
Health, Safety & Risk Management: Ensure contractors comply with safety policies, identify risks, coordinate inspections, and maintain safe working environments.
Reporting & Documentation: Prepare regular reports for senior management, maintain accurate records, and manage all contract documentation.
Team Leadership & Development: Supervise and manage internal teams and third‑party contractors, provide guidance and training on compliance and customer service.
Sustainability & Environmental Management: Promote sustainable practices, integrate green initiatives into contracts and operations, and support Respond’s environmental objectives.
Education / Qualification
Undergraduate degree in Estate Management, Facilities Management, Property Management, Business Administration or a related field. Relevant certifications in contract management, health and safety or property management are desirable.
Technical Skills
Demonstrable experience administering contracts, managing estate and residential building health & safety compliance, budget creation and financial planning.
Experience
5‑8 years of experience in estate or facilities management, contract and service delivery, budget oversight, and stakeholder engagement.
Key Competencies & Attributes
Excellent communication, both oral and written, with the ability to influence and motivate stakeholders.
Strong problem‑solving, organisational, and time‑management skills.
Proficiency in contract management, SLAs, KPIs and service delivery.
Knowledge of health and safety regulations, property laws and best practices.
Leadership ability, teamwork, and a proactive, detail‑oriented approach.
Commitment to sustainability and tenant‑focused service.
Full clean driving licence and access to own car.
Working Conditions
Full‑time, 39 hours per week (Monday‑Friday). Hybrid in Dublin, with occasional work outside normal office hours, including weekends.
