Group Reservations Coordinator
This role is responsible for overseeing the group reservations process, ensuring a seamless experience from quote to contract handover.
The successful candidate will be involved in quoting, converting, and managing group accommodation enquiries, optimizing hotel revenue and reservations strategy.
* Track and follow up all enquiries thoroughly.
* Enter groups into the system with relevant notes, traces, and rates.
* Act on daily group traces and chase/cancel on time.
* Coordinate information/queries with hotel operations.
* Recognize regular business and note special requests for reception.
* Complete weekly/monthly group reports.
* Ensure timely filing and upsell hotel facilities.
* Be knowledgeable of market pricing and review hotel pricing.
* Implement sales guidelines and coordinate group business with hotel teams.
* Proactively identify low demand periods and develop improvement plans.
* Ensure effective implementation of company Group Reservations SOP's.
* Attribute group revenue to the correct category and segment.
* Assist with individual reservations as needed.
* Pass sales leads to the sales office.
* Work with the sales and marketing manager to align key decisions with hotel policy.
* Collect accommodation payments and refer billing/payment queries.
* Pass group booking information to reception.
* Cover occasional weekends/bank holidays.
Requirements: Three years' hotel reservations experience, preferably in a four-star hotel setting. The ideal candidate will possess attention to detail, numeracy skills, and fluent English communication.
