Unijobs on behalf of University of Limerick are seeking an Administrator to join its team in the Intern Network, School of Medicine, based in the University Hospital Limerick. This is a full-time, temporary position, working 35 hours per week, in UHL Dooradoyle. This position is initially anticipated to be until the 21st of August 2026. The successful candidate will be offered €18.86 per hour. Job Purpose Reforms to the intern year have led to the establishment of intern training networks. Each network (n=6) is led by an intern network coordinator(s), who is responsible for overseeing intern training within the network. The network also consists of an Intern Tutor/Fellow/SL who ensures the provision of an appropriate educational programme for all interns within the Mid-West. The administrator post was developed to support the role of the Intern Network Coordinator and the Intern Fellow and provides a pivotal role in the organisation and management of the Mid-West intern programme. Key Accountabilities: In the first instance, the appointee will have responsibility for the administrative support to Interns based in the UL Hospitals group. The duties of the post include but are not limited to: Responsibility for administrative tasks for the Mid-West intern network as requested. Organising timetables, venue and course materials for the intern educational programme. Liaising with scheduled presenters/secretaries of the weekly intern educational activities. Recording attendance at compulsory weekly intern teaching activities / induction / courses etc. Providing information to Mid-West interns participating in the Mid-West intern programme. Scheduling and set-up of video/tele-conference facilities as required. Organising and scheduling the formative, interim and summative intern assessments. Ensuring satisfactory completion of all intern assessment reports for each intern rotation. Intern posts offers, point of contact for students and teaching staff during induction and the Academic year. Organise and Schedule all practical aspects involved in the Intern Induction Week Updating and Organise printing of handbooks, posters, induction packs and all student and marketing information etc. Liaising with intern trainers/consultants to ensure the smooth running of the intern programme. Issuing of Certificates for Internal CME as required. Administrative support for the Mid-West e-learning module developers. Liaising with local IT support / RCSI etc. about the intern e-platform and IT programmes. Issuing and clearing invoices, Raising POs; monitors expenditure and updates budget accordingly Maintaining easy-access filing systems. Support for the intern network coordinator(s) and Intern Tutor/Fellow/SLs. Scheduling, attending and taking minutes of meetings as requested. Communicating with HR and Medical Manpower regarding intern posts, rotations and rotas. Representing the best interests of the Mid-West intern network and intern programme. As the Intern Network continues to expand and evolve, it is likely that flexibility in regard to the allocation of specific duties will be necessary. High level of proficiency in IT packages and systems such as Office365 and Sharepoint. Ability to work on your own initiative and with diverse groups of stakeholders. Excellent proven teamwork. Demonstrated ability to work in a professional manner, accurately and with attention to detail. Ability to handle confidential information and materials. Minimum of one year relevant work experience in an administrative role. Proven track record undertaking complex, high-level organizational and administrative tasks with emphasis on accuracy and attention to detail. Leaving Certificate or equivalent.
