About the Role
The Executive Officer - Company Secretariat/Executive Assistant is a 9-month temporary contract in which the successful candidate will be employed by Cpl and you will work onsite in the Coimisiún na Meán's office at 1 Shelbourne Buildings, Shelbourne Road, Ballsbridge, Dublin 4, D04 NP20, Ireland.
Role Purpose
As an Executive Officer / Executive Assistant within the Commission Secretariat, you will provide high-quality direct executive support to two of the five Commissioners, ensuring the smooth and efficient running of their day to day activities.
You will play a key role in managing complex scheduling across the Commissioner diaries, coordinating information flows, and acting as a professional point of contact on behalf of the assigned Commissioners.
Working closely with the Higher Executive Officer (who manages the Commissioners' Office) and the broader Secretariat Team, you will support the effective functioning of the Secretariat by delivering reliable, confidential, and proactive administrative and executive support services.
About the Team/Division
The Executive Officer / Executive Assistant role sits within the Governance and Secretariat Team, part of the Corporate Services Division.
The team supports the governance structures of Coimisiún na Meán and the effective operation of the five member Commission.
You will work closely with:
The Higher Executive Officer who manages the overall Commissioners' Office;
The Director and Assistant Director of the Commission Secretariat;
Other Secretariat colleagues, including Executive Officers and the Clerical Officer;
Key Responsibilities
Executive Support to Commissioners
Provide high-level executive assistant support to two Commissioners, acting as a trusted point of coordination and contact.
Manage complex professional and personal scheduling, including meeting bookings, email monitoring, call handling, logistics, and travel arrangements.
Coordinate and prioritise the flow of information, ensuring Commissioners are fully briefed and prepared for meetings, events, and deadlines.
Screen and triage incoming requests, identifying priority issues and ensuring timely responses.
Plan and orchestrate work to ensure Commissioners' priorities are met, including managing follow-up actions and tracking commitments.
Stakeholder Engagement and Communications
Build and maintain strong working relationships with internal and external stakeholders.
Liaise professionally with staff across all divisions, public sector bodies, industry representatives, and international contacts as required.
Meet and greet visitors at all levels of seniority, ensuring professional representation of the Commissioners' Office.
Handle enquiries and requests with discretion, judgement, and a solutions-focused approach.
Meeting and Documentation Support
Prepare, proofread, and format letters, meeting papers, briefing materials, and other documents.
Take accurate meeting minutes as required and track actions, ensuring clear documentation and follow-up.
Support the coordination of logistics for meetings organised by the Commissioners, including internal or external room bookings, document packs, and necessary administrative arrangements.
Maintain organised and secure filing systems, both digital and physical, in line with internal procedures and governance requirements.
Operational and Administrative Support
Screen telephone calls, take messages, and follow up where appropriate.
Assist with travel planning, accommodation, itineraries, and related logistical arrangements.
Implement and maintain administrative processes, templates, and procedures to support the smooth operation of the Commissioners' office.
Support finance related administration, including processing expenses, raising purchase orders and liaising with finance colleagues on these matters.
Provide general administrative support to the wider Secretariat Team and formal Commission meeting cycle, when needed, ensuring flexibility during peak periods.
Other Duties
Carry out any other duties appropriate to the role and grade, as required to support the effective functioning of the Commissioners' Office and Secretariat Team.

Experience, Skills, Knowledge & Qualifications
Essential Criteria
Proven experience providing executive level support in a fast paced environment.
Strong organisational and time management skills, with experience managing complex diaries and multiple priorities.
Excellent interpersonal skills with the ability to build relationships at senior levels.
High standards of written communication, accuracy, and attention to detail.
Ability to exercise discretion, professionalism, and sound judgement when handling confidential information.
Strong IT skills, including proficiency in Microsoft Office and document management systems.
Ability to work independently while also contributing to a collaborative team environment.
Desirable Criteria
Experience in the public sector or a regulatory environment.
Experience supporting senior leaders or board members.

This position is offered on a temporary agency contract for a period of 9 months
The successful candidate will be employed by Cpl
Full time, 35 hrs per week
Annual Leave: 23 days per annum, pro rata
The role will be a hybrid role combining home and office working.
Coimisiún na Meán's current hybrid policy is 2 days in the office.
The office is located at One Shelbourne Buildings, Shelbourne Road, Dublin 4, D04 NP20.
This position is graded at the Executive Officer scale.
Successful candidates will be appointed on the first point of the scale.
