Your new role As the Tenders Administrator, you will play a central role in managing and coordinating tender activities for the organisation. Based in the Dublin office, you will ensure the smooth day-to-day operation of administrative functions while supporting senior management across business development, marketing, accounts, and facilities. A key focus of this role is the preparation, coordination, and submission of high-quality tender documents for both public and private sector clients. Your responsibilities Tender Management (Primary Focus) Lead the preparation, coordination, and submission of tender applications Monitor eTenders and other procurement portals daily for new opportunities. Manage all tender documentation, ensuring compliance with submission requirements Prepare CVs, project profiles, and capability statements for tender use Support senior colleagues in reviewing tender specifications and gathering required information Administration & Office Support Carry out front-of-house reception duties Provide general office administration and organisational support Maintain document control in line with internal quality procedures Marketing & Business Development Assist with the development of business development materials Help maintain the corporate website and LinkedIn presence Support the creation of promotional and capability documentation Facilities & Operations Manage supplies, storage, and archiving Liaise with building management and external service providers Procure office materials, equipment, PPE, and IT consumables Coordinate onboarding, training sessions, conferences, and CPD events Maintain professional memberships and certifications Assist in organising staff events and office activities Accounts Support Provide general assistance to the accounts team as required What you'll need to succeed Strong experience in tender administration is essential, including familiarity with eTenders and public procurement processes. Proven office administration or senior administrative experience Excellent organisational and document-management skills Proficiency in MS Office and document management systems (experience with Sage is an advantage) High level of attention to detail and ability to work to tight deadlines Professional communication skills, both written and verbal Proactive, reliable, and able to manage multiple priorities.
