This dynamic administration position is based in Maynooth. We are seeking an experienced professional to join our team as an Administrator, providing support across various areas. The role offers a hybrid working arrangement, with 3 days per week spent on-site but also requires flexibility to commute to our office and warehouse in Leixlip and coordinate with U.S. teams.
Responsibilities:
1. Provide general administrative assistance (phones, mail, filing, supplies, catering).
2. Schedule meetings, maintain calendars, and take accurate minutes.
3. Maintain office equipment and arrange repairs.
4. Organize company records and documentation.
5. Arrange domestic and international travel.
6. Support the implementation of office policies to enhance efficiency.
7. Manage contracts with service providers (insurance, benefits, leases, etc.).
8. Prepare and submit reports to government and insurance agencies.
9. Respond to internal and external inquiries professionally.
10. Assist Field Service Engineers with scheduling and reporting tasks.
11. Maintain confidentiality and handle sensitive information discreetly.
12. Perform other administrative tasks as needed.
13. Coordinate immigration documents.
14. Collaborate with global HR teams.
15. Track inventory and ensure timely delivery of parts/products.
16. Manage purchase orders and supplier communications.
17. Prepare and process shipping documents for domestic and international shipments.
18. Ensure compliance with import/export regulations and country-specific packaging requirements.
19. Track shipments and coordinate schedules with freight forwarders.
