Job Opportunity: Sales and Office Support
Job Description:
Our organization is seeking a highly organized and detail-oriented individual to fill the role of Sales and Office Administrator. This position will be part of our Sales and Project Team, working closely with project managers to provide administrative support.
* Assist in producing client quotations and invoices.
* Provide office-based assistance to project managers.
* Update equipment forecasts based on confirmed orders for use by the company's operations.
* Monitor and produce tender applications in conjunction with relevant project managers.
* Follow up on unconfirmed jobs with clients and seek advice from relevant project managers as needed.
* Communicate important feedback from clients.
* Become familiar with all company products.
* Source payment terms from the finance team and issue pro forma invoices for deposit payments.
* Ensure company documentation such as templates, terms and conditions, fire specifications, spec sheets, and insurance indemnifications are up-to-date.
* Keep website gallery up to date.
* Liaise with management to ensure rates are accurate.
* Keep sales-related records and forecasting reports up to date.
* Deal with client queries via email and telephone.
* Assist project managers in administration tasks as required.
Required Skills and Qualifications:
To be successful in this role, you will need:
* A third-level qualification in business or a related discipline (preferred).
* At least four years of experience working in a similar sales/officesupport role (essential).
* Strong attention to detail and high level of accuracy.
* Proficiency in MS Office applications (Excel, Word, Outlook, PowerPoint). A willingness to assist with ongoing improvements to the company's quoting and invoicing systems.
* Ability to work independently in a fast-paced environment. Excellent time management skills.
* Excellent interpersonal skills and positive demeanour.
* Fluency in English written and oral communication.
