We are seeking a diligent Property Administrator to support our Property Services team. This role involves providing administration assistance and serving as the primary point of contact for staff, managers, suppliers, and contractors.

The Property team manages a portfolio of properties in various sizes, primarily located in the Glasgow area. Responsibilities include general administration, maintenance coordination, and liaison with technicians, painters, and joiners.

This position is based in an office setting, Monday through Friday.

Key duties and responsibilities include:

* Updating and managing the repairs and maintenance section of Homemaster, encompassing internal, external, and landlord repairs.
* Facilitating the administration process for repairs and maintenance.
* Liaising with staff teams and management regarding property repairs and void assessments.
* Accurately recording repair or void details using Homemaster, escalating issues to the internal Maintenance Team as necessary.
* Monitoring completion dates with internal, external, and landlord contractors, escalating any concerns to relevant personnel.
* Updating the Tracker system with status updates on void assessments and repairs.
* Notifying relevant staff or services to confirm property repair status.
* Closing jobs on Homemaster upon receipt of authorised invoices, inputting relevant costs and dates.
* Scheduling forward maintenance and planning repairs into Outlook calendar for the maintenance team, liaising with tenants to arrange access and confirming additional considerations.

We're looking for someone with experience in administration from a busy office environment, accompanied by a good working knowledge of MS Office, particularly MS Excel. The ideal candidate will be confident in managing a high workload and prioritising tasks, as well as possessing the autonomy to work independently. Experience within a Housing environment is beneficial.

* The post holder will report to the Property Administration Supervisor.
* Your normal working hours are 35 per week, worked Monday to Friday between the hours of 8am and 4pm, with a one-hour unpaid break.
