These principles underpin the contribution expected of every team member and form the foundation of our people practices.The RolePortobello Institute is seeking an Integrated IT Systems Administrator to support the reliability, security, and integration of the Institute's core digital systems during a period of growth.This role is responsible for the administration and optimisation of key platforms including Moodle (VLE hosted on AWS EC2), Classter (SIS), and Microsoft 365 / Azure AD. The post-holder will also maintain and enhance integrations with HubSpot, Stripe, Xero, and other enterprise tools, ensuring data flows are secure, accurate, and fit for purpose.The role underpins operational efficiency, student experience, and data-led decision-making across the Institute. It suits someone who combines strong technical capability with a collaborative, service-oriented approach and who values clarity, accountability, and continuous improvement.Key ResponsibilitiesSystems Administration & ReliabilityAdminister and monitor AWS-hosted Linux environments supporting Moodle, ensuring uptime, patching, scalability, and backupsManage AWS services including EC2, S3, IAM, CloudWatch, and Route 53Liaise with external vendors on upgrades, performance tuning, and incident resolutionImplement and test disaster recovery procedures and maintain system documentationMonitor system usage and plan capacity in line with student numbers and business growthIdentify opportunities for cloud and licensing cost optimisationIntegration, Configuration & AutomationMaintain and enhance integrations between Classter, Moodle, Microsoft 365 / Azure AD, HubSpot, Stripe, and XeroTranslate academic and operational requirements into technical configuration or automationBuild, test, and document workflows using Power Automate, Azure Data Factory, or similar toolsAutomate user provisioning, enrolment updates, reporting, and notificationsDevelop and maintain Power BI dashboards providing insight into student engagement and system performanceSupport Finance through improved data integration and reconciliation processesSecurity, Compliance & Data IntegrityManage identity and access controls across all core systemsMaintain secure configurations aligned with GDPR and institutional data protection standardsMonitor logs and alerts and respond to incidents appropriatelySupport periodic access, security, and data-quality reviewsContribute to audit readiness and compliance activities where requiredCollaboration & SupportProvide first and second-line support for IT systems and configuration issuesWork closely with Admissions, Academic Operations, Finance, and Marketing to improve digital processesMaintain clear SOPs, admin guides, and troubleshooting documentationParticipate in cross-functional initiatives to test and improve digital capabilityShare technical knowledge and best practice across the InstituteThe PersonYou will bring a strong belief in the role technology plays in supporting education and student experience.
