Role Overview
As the Office and Community Manager, you will be the linchpin in ensuring smooth operations within the business, acting as the primary point of contact for clients and associates. This role involves client management, project coordination, invoicing, social media management, and building strong, ongoing relationships with associates.
Key Responsibilities:
* Client Management: Client Communication:
o Be the first point of contact for client inquiries, answering phone and email queries in a timely, professional manner.
* Project Coordination: Manage consultancy projects by creating plans, setting timelines, and tracking progress. Regularly update clients on project developments.
* Invoicing: Issue accurate and timely invoices for consultancy services, ensuring all details are correct and payments are followed up on when necessary.
* Social Media Management: Oversee the company's LinkedIn presence by creating and posting engaging content that highlights our expertise and strengthens our brand.
* Email Campaigns: Develop and implement targeted email campaigns to share updates, news, and insights with clients, keeping them engaged with our services.
* Associate Management:
o Regular Touchpoints: Build and maintain regular communication with associates, ensuring they feel supported and connected to the team.
o Invoice Management: Receive and process associate invoices, ensuring they are entered accurately into the accounting software and paid on time.
o Community Engagement: Help create and maintain a positive, inclusive atmosphere among associates, contributing to a culture of collaboration and mutual support.
* General Office Administration:
o File Management: Maintain organised files for both clients and associates, ensuring that all documentation is up to date and easy to access.
o Administrative Support: Provide general office support, including organising meetings, managing office supplies, and assisting with day-to-day tasks.
o Team Collaboration: Work alongside the team to ensure the smooth running of the business and contribute to a supportive, fun work environment.
Skills and Qualifications:
Experience: Proven experience in office management, client relations, or a similar administrative role.
Communication: Excellent verbal and written communication skills with the ability to manage multiple inquiries simultaneously.
Organisation: Strong organisational skills, with the ability to manage a variety of tasks and deadlines effectively.
Technical Proficiency: Familiarity with Microsoft Office Suite. Experience with social media management (especially LinkedIn), email marketing platforms (e.g., Mailchimp) and accounting software (Sort My Books) is a plus.
Autonomy and Teamwork: Ability to work independently with minimal supervision, while also being an integral part of a close-knit team.
Problem-Solving: Strong problem-solving skills with a proactive, can-do attitude.
