Inland Fisheries Ireland have a fantastic opportunity available for an Executive Assistant to join our team.
The purpose of the Executive Assistant role is to provide top-tier, comprehensive and responsive administrative support to the Head of Finance and Corporate Services. In addition, the Executive Assistant will act as the primary point of contact between the Head of Finance and Corporate Services and internal / external stakeholders. The Executive Assistant will also act as IFI's Travel Officer.
Reporting to the Head of Finance and Corporate Services, the Executive Assistant will be part of the Finance and Corporate Services team.
The Finance and Corporate Services division consists of the following functions; Communications, Business Development, Logistics, Field Services, Finance and Governance & Compliance.
The Executive Assistant will provide a range of administrative support services to the Head of Finance & Corporate Services and must be a highly organized, detail-oriented individual who has the discretion and integrity required to handle confidential information.
Excellent communication skills are required to manage the Head of Finance & Corporate Services schedule and assist with various tasks and projects.

RESPONSIBILITIES
* Drive key projects and activities on behalf of the Head of Finance and Corporate Services, coordinating timely responses to deadlines;
* The Executive Assistant will act as the Travel Officer designate for IFI (in line with the responsibilities set out in Circular 11/1982 and the Foreign Travel Guidelines of 2009)
* Manage all secretariat responsibilities on behalf of the Head of Finance and Corporate Services;
* Coordinate with other executives and departments to ensure timely completion of tasks & projects;
* The Executive Assistant will act as the Travel Officer designate for IFI (in line with the responsibilities set out in Circular 11/1982 and the Foreign Travel Guidelines of 2009)
* Create and manage dashboards and any other business reporting requirements
* Draft, proofread, edit and distribute correspondence, reports, and presentations;
* Conduct research and compile data on various topics and prepare reports and briefing documents;
* Act as the key point of contact for the Head of Finance & Corporate Services;
* Liaise with a wide range of internal and external contacts to support the Head of Finance & Corporate Services and ensure the efficient running of the Finance & Corporate Services division;
* Manage all communications on behalf of the Head of Finance and Corporate Services;
* Manage and prioritise the Head of Finance & Corporate Services calendar; scheduling appointments, meetings and travel arrangements as appropriate;
* Undertake all other duties and responsibilities as may be assigned from time to time by the Head of Corporate Services or nominee

KEY KNOWLEDGE & EXPERIENCE
The successful candidate will have the following;
Essential
* A full Category B driving licence that is recognised in Ireland;
* A recognised third-level qualification (NFQ Level 7)or equivalent, in a relevant discipline;
* A minimum of five years' experience of working in the area of high level executive support in a corporate environment;
* Advanced knowledge and experience of the Microsoft Office applications used for administrative support;
* A proven ability to consistently deliver, meet deadlines and thrive in a fast-paced work environment.

LOCATION
This role may be based at any of IFI's regional offices; Citywest, Dublin / Clonmel, Tipperary / Macroom, Cork / Limerick City, Limerick / Ballina, Mayo
Inland Fisheries Ireland is proud to offer a hybrid working model for this role which will typically consist of 2-days working remotely and 3-days working from the successful candidate's designated office, subject to business requirements and approval from line management.
SALARY
The salary scale for the position is at the level of Higher Executive Officer as applies in Inland Fisheries Ireland, it is a 9-point scale including 2 long service increments (LSI's): Point 1 €57,751.54; Point 2 €59,461.11; Point 3 €61,178.47; Point 4 €62,889.57; Point 5 €64,609.42; Point 6 €66,328.02; Point 7 €68,044.12; Point 8 (LSI 1) €70,525.16; Point 9 (LSI 2) €72, (IFI HEO Grade PayScale as of 01/08/2025)
Candidates should note that salary will not be subject to negotiation and the rate of remuneration may be adjusted from time to time in line with Government pay policy. New entrants to the public sector will start on point 1 subject to Haddington Road Agreement and subsequent Government Agreements.
TENURE
