Sales Administrator Role Overview
The Sales Administrator is a vital member of the sales support team, responsible for ensuring the efficient processing of all vehicle sales. This role requires strong administrative expertise, excellent attention to detail, and a solid understanding of the motor trade.
You will work closely with internal teams, customers, and external partners to ensure that all documentation and processes are completed accurately and on time.
* Prepare and process all new and used vehicle orders.
* Complete, verify, and manage sales documentation including invoices, order forms, registration forms, and finance agreements.
* Liaise with Revenue for vehicle registrations.
* Prepare comprehensive handover packs for customer deliveries.
Key Responsibilities:
* Collaborate with sales executives, sales managers, and accounts staff to support seamless sales operations.
* Communicate with customers regarding required documentation, delivery timelines, and order updates.
* Work with manufacturers and finance providers to maintain compliance and accurate records.
Systems & Data Management:
* Maintain up-to-date vehicle stock records and status updates.
* Input and manage data in dealership management systems.
* Process vehicle taxation and registration requirements.
* Produce regular sales and stock reports (daily, weekly, monthly).
Compliance & Quality Assurance:
* Ensure all documentation aligns with GDPR and industry compliance standards.
* Maintain high accuracy to avoid delays or financial discrepancies.
* Assist with audits and maintain adherence to internal and manufacturer procedures.
