Health and SafetyVacancy SummaryWe are looking for a Health and Safety Administrator to join our organisation to support the Health and Safety Department, complete some important projects for the institute and our employees.Position AvailableHealth and Safety AdministratorLocationDublinDepartmentHealth and SafetyHiring ManagerGemma Grimes, HR DirectorContract TypeFixed term – 6 monthsApplication DateASAPInterview DatesTo be confirmedSalary & BenefitsCompetitive salary and excellent suite of benefits including pension, private health insurance, income protection scheme, 25 days annual leave plus up to 3 additional company days off, generous training and career development supports, flexible working hours and work from home set up supported.Role PurposeThe Health and Safety Administrator will provide support across general administrative tasks, health and safety documentation projects, the management of the Health & Safety SharePoint site, and coordination of health and safety training.Key ResponsibilitiesGeneral Administration duties:Provide daily support to NIBRT staff, managing the Health and Safety inbox and responding to employee queries and requests for support in a timely manner.Manage the EHS departments filing and record keeping following up on outstanding documentation for completion.Schedule and organise health and safety training sessions, audits and maintain training records.Support internal and external EHS audits and reporting.Support the Lab Points of Contact with risk assessments, ensuring that they are signed and uploaded to the H&S SharePoint page in a timely manner.Keep accurate health and safety records, such as training logs, risk assessment and incident reports, recording of minutes, naming conventions on files etc.Any other administrative tasks reasonably requested by the HR Director.Health & Safety documentation project:Reformat, rename and organise all existing H&S documentation, file it in the H&S filing structure and upload to SharePoint where appropriate.Create a list of missing documentation and where possible, gather this from existing sources and file accordingly.Create a filing structure and associated SOP for individual labs that ensures they are fully equipped to easily maintain legally compliant documents and records for their teams. Design templates for consistent record keeping and assist Lab Points of Contact organise their documentation.Create an efficient electronic means of collecting and storing training records.Health & Safety SharePoint site:Working with Lab Points of Contact and NIBRT's e-Learning Specialist, design and populate a Health and Safety Resource Hub for NIBRT employees.Create a Guide on how to maintain this site.Health and Safety Training:Working with NIBRT's e-Learning Specialist, design content for a series of repeatable health and safety training for NIBRT employees, visitors and contractors that can be hosted on our LMS system.NIBRT Employee Responsibilities:At NIBRT, our purpose is to support the Biopharma Industry in Ireland and beyond. As such, all colleagues act as NIBRT ambassadors may need to communicate, and build relationships, with our Biopharma clients and partners.
