The Opportunity:
We have a brilliant new opportunity for a Receptionist and Office Administrator to join our busy and highly collaborative Administration Team. This is an ideal role for someone who thrives operating in a fast-paced environment and working on a front desk. The successful applicant will be reporting to the Chief of Staff and will be based out of our Kilcullen office. This is a primarily office-based role in our Kilcullen office, with work-from-home available on a rotating basis subject to reception cover.
What will I be doing in my new role?
* Welcoming visitors to our office in a friendly manner and ensuring they are directed appropriately
* Managing the company mailboxes with timely responses
* Screening telephone calls, enquiries, requests, and handling them when appropriate in a confidential manner
* Receiving, sorting, and distributing daily mail/deliveries, arranging couriers etc
* Raising queries where necessary and monitoring responses.
* Managing correspondence within tight timeframe
* Maintaining our office security by ensuring safety procedures are followed at reception
* Ensuring both the reception area and company meeting rooms are well maintained and presentable
* Travel to our Dublin office to assist with office management and meeting management as needed.
* Assist with our other administration teams who are distributed globally as needed.
* Monitor the cleanliness of the office and reporting any issues
* Assisting with the preparation, collation, and delivery of tender documents
* Creating POs in line with company procedures
* Managing company credit card and reconciling same in line with company procedures
* Accurately accounting for Petty Cash with the Finance team
* Conference room and hot desk management and ensuring hot desks are left in good condition when vacated
* Organisation of catering for meetings etc when needed
* Making extensive travel arrangements
* Manage the stationery, office, and kitchen supplies within the office
* Support in management of office welfare facilities and supplies
* Performing other clerical duties such as photocopying, binding, printing, and filing
* Understanding the business needs and prioritising accordingl
* Identifying opportunities for improvements within the company and raising them within the administration team
* Communicating effectively and efficiently, while maintaining good working relationships with all colleagues
* Dealing with queries from company employees, clients, and management
* Assisting in the organization of staff social events throughout the year if needed
* Any other tasks reasonably expected of the administration team
Requirements of the role:
* 2-3 years' reception experience is desirable
* Good working knowledge of MS Office Suite skills, Outlook, Work, Excel, PowerPoint, Teams
* The ability to work the following hours in our office (Mon-Thurs 8.30am-5pm and Friday from 8.30am-4pm)
* Full Irish/EU Driving License and the use of own vehicle
* Sage Experience is desirable but not essential
