Operations Assistant

Role

The Operations Assistant (TAS) plays a key role in supporting the TAS team by ensuring accurate project administration, maintaining up-to-date records across systems, and enabling smooth delivery of client services. This role requires strong attention to detail, excellent organisational skills, and the ability to work collaboratively with multiple stakeholders.


Duties And Responsibilities

* Manage and process project-related requests accurately and within agreed timelines, following internal procedures.
* Maintain and update project tracking tools to ensure accurate and up-to-date information is always available.
* Ensure records and documentation are consistent, accurate, and aligned across platforms and systems.
* Accurately assign project services and details, ensuring information is complete before publishing or sharing.
* Keep project trackers and databases current and error-free to support reporting and decision-making.
* Proactively manage project handover and change processes, ensuring all documentation and steps are completed without delays.
* Provide administrative and coordination support to project leads and team members, enabling smooth workflows.


Essential Skills

* Excellent organisation, time management, and attention to detail.
* Strong written/verbal communication; able to work independently or in a team.
* Proficient in Microsoft Office (Excel, Word, PowerPoint, Teams).
* Quick learner, adaptable, proactive, and collaborative.


Desirable Skills

* Experience in project administration/coordination.
* Familiarity with project management or CRM tools (Asana, SharePoint, HubSpot).
* Skilled in maintaining trackers, databases, dashboards, and reporting.
* Data analysis and report preparation.
* Knowledge of document management and version control.
* Ability to support cross-functional teams in fast-paced environments.
* Strong problem-solving; proactive issue resolution.
* Background in construction or BCMS (preferred).
