Main Function of the role:
The Office Administrator, Ireland will be responsible for providing general office administrative support to the Irish office and the broader Ireland based team (circa 10 employees) and PA support to the Head of Office.
Key task and responsibilities:
• Provide full and efficient secretarial and administrative support to the Head of Office, Ireland and the broader Irish team (as appropriate): plan and book travel arrangements, expense claims, draft letters/correspondence, organise diaries, arrange lunches/events, field telephone calls, maintain filing etc.
• Responsible for the administration of the Irish office on a day-to-day basis including managing IT support, post, stationery and all facilities.
• Maintain various management reports and records, including holiday and absence reports, updating of the intranet sites and other regular reporting.
• Acting as secretary to, and taking minutes for, a number of internal committees and meetings.
• Manage relationship with the building provider in Ireland.
• Assist with local vendors and memberships.
• Maintain the filing where required.
• Assist with European Branch offices where necessary.
• Assist with Board meeting preparation.
• Co-ordinate with other PA’s / teams across the business as necessary to ensure the Ireland office is included in corporate initiatives.
Experience Required:
* Experience of arranging and booking complex overseas travel and arranging visas and ground services.
* Comfortable working at a senior level.
* Must demonstrate “can do” attitude and work independently and as part of a team.
Minimum knowledge & experience required:
* Experience in a fast-paced, client-focused environment, performing a similar role, in a similar sector, supporting a team.
* Experience of actively managing busy schedules.
* Willing to work in the office 3 days per week
Candidate Profile:
* Articulate individual with first-class PA skills. A pro-active approach to work and a “can do” attitude are essential. A strong communicator, with excellent interpersonal skills and the ability to liaise effectively at all levels.
* Advanced levels of Word, Excel, Outlook and PowerPoint.
* Highly organised; able to prioritise effectively and juggle multiple tasks.
* High level of diplomacy and confidentiality.
* Collaborative team player; willing to ‘muck in’ to get things done.
* Numerate.
* Keen attention to detail.
* Excellent communication skills (oral and written)
* Pro-active, self-starter, able to stay motivated and productive, enquiring approach to business activities, and able to diplomatically ‘manage’ people being supported.
* Interpersonal understanding: treats everyone with dignity, honesty and respect.
* Able to escalate issues arising early while also focused on offering potential solutions.
* Able to interact with senior executives in a professional and confident manner.
* Calm under pressure.
* Flexible in approach.
* Fluency in written and spoken English.
