Are you a highly organized professional who thrives in a fast-paced corporate environment? We are seeking a Team Administrator to join our Business Support team within Corporate Services.
In this pivotal role, you will act as the operational backbone for three Heads of Department and their respective teams.
Your mission is to streamline daily operations, manage administrative workflows, and maintain the highest levels of confidentiality, allowing our leadership team to focus on strategic growth.
Key Responsibilities As a Team Administrator, your day-to-day will involve a diverse mix of client-facing coordination and internal operational support: Document Management: Drafting and formatting professional documents, managing electronic signatures via Docu Sign, and assisting with client pitches, contracts, and presentations.
Compliance & Administration: Overseeing file and job openings in line with ISO/Audit standards, managing AML procedures, and onboarding new clients or vendors into our systems.
Financial Support: Handling invoicing, logging and tracking expenses for Department Heads, and maintaining billing records.
Executive Support: Proactive diary management, coordinating travel arrangements, and organizing high-level meetings and strategy days (including catering and logistics).
Data Integrity: Managing database entries across multiple platforms, including Client IQ, website listings, and internal CRM systems.
Reporting: Supporting the team with the preparation and meticulous formatting of detailed client reports.
Requirements To be successful in this role, you will need a blend of technical proficiency and a proactive "can-do" attitude: Experience: 2-3 years of experience in a secretarial or administrative role within a professional services environment.
Technical Skills: Expert-level knowledge of the Microsoft Office Suite (specifically Word and Power Point).
Systems Knowledge: Previous experience with Salesforce is highly desirable.
Industry Savvy: A baseline understanding of the business market and corporate billing processes is preferred.
Attributes: Exceptional attention to detail, the ability to adapt to changing priorities, and a discreet approach to handling sensitive information.
