Overview of the department
The Office of the Vice-President for Academic Affairs (OVPAA) has assumed responsibility for the coordination and oversight of the learning and development / training function that has been developed and implemented via the Student Information System (SIS) Programme. Learning and development is integral to the continued, effective implementation of the University’s academic-related operating model and related redesigned services that are in the process of transitioning from the SIS Programme to “business as usual” (BAU).
Role Profile
Reporting to the Head of the Curriculum Management Service (CMS), the Systems Learning & Development Officer will be responsible for specific process and systems-related training, working closely with a pool of business-based super users and other relevant colleagues to build organisational capabilities and resilience in key functional areas. They will ensure the effective transfer to OVPAA of the portfolio of process and systems-related learning resources, associated artefacts and solutions, which have been developed within the SIS Programme. The post holder will be responsible for the delivery of bespoke, in-house training to enable delivery of an enhanced digital experience for staff and students, consistent with the University’s academic-related operating model.In addition, they will design and implement training and be responsible for ensuring that on- and off-system training adheres to the operating model and effectively supports operational excellence. The Head of Curriculum Management Services reports to the Academic Secretary, OVPAA.
Duties and Responsibilities
The duties and responsibilities attaching to the position include, but are not restricted to, the following:
* Ensure the effective transfer of responsibility from the SIS Programme fortraining as it relates to specific, critical University business and operational activities.
* Work collaboratively with relevant colleagues to develop an enduring learning and development function within OVPAA, ensuring adherence to the University’s academic-related operating model and fully leveraging the affordances of the newly implemented suite of applications that now make up the University’s Student Information System.
* Assume responsibility for the development of training in relevant on- and off-system processes to University-wide stakeholders, delivering and/or coordinating delivery of a range of targeted training outputs such as:
* Super-user, business user and end-user training
* Self-service training resources
* in-person/hybrid/Zoom training sessions
* Drop-in (Q&A-style) sessions to reinforce knowledge
* E-learning and online material.
* Possess and apply specialist experience and expertise in systems training to develop a detailed understanding of training needs arising from the transition to business as usual of the redesigned services that have been implemented by the SIS Programme
* Identify and segment the learning needs and requirements for a diverse population of system users, making detailed recommendations as to the most appropriate and effective methods and resources to deliver training, and evaluating the efficacy of training delivery.
* Manage a portfolio of learning and development programmes and resources, reviewing and updating content regularly to reflect:
* Approved, significant process/service and related systems amendments
* Enhanced system capabilities resulting from upgrades
* Stakeholder / participant and other feedback
* Learning and development trends.
* Facilitate group sessions and focus groups to assist the University in gathering information and data on specific initiatives.
* Use innovative learning approaches, exploiting new technology where appropriate and managing relationships with external consultants/resources where relevant.
* Work collaboratively with and, in terms of practice and approach, align with the University’s central Learning and Organisational Development function
* Foster and develop an open knowledge-sharing environment, actively contributing to the wider OVPAA team and relevant stakeholder teams in a manner that builds knowledge, skills and capability.
* Undertake such duties may be assigned by the Head of the Curriculum Management Service, Academic Secretary or nominee.
Qualifications and Experience
* Candidates must have a primary degree or equivalent (NFQ Level 7) in a relevant field
* A minimum of four years’ relevant experience, at managerial or specialist level, in a Learning & Development function, within a large and complex organisation.
* Proven substantial systems-related Learning and Development experience.
* Proven demonstrable ability to design innovative learning solutions and facilitate learning interventions.
* Proven ability to work autonomously with ownership of outcomes for key projects.
* Experience in working across a range of departments and colleagues with different levels of technological aptitude with the ability to develop strong working relationships across the University and wider HE sector.
* Excellent IT skills and a curiosity for new and emerging technology to support the establishment and operation of the Learning & Development function within OVPAA.
* Excellent interpersonal and communication skills (oral and written).
* Excellent presentation skills (online and in person) and facilitation skills, with the ability to adapt to different audiences.
* Ability to work effectively as part of a team but also to work on own initiative
* A high degree of flexibility.
* A postgraduate qualification in Learning and Organisational Development or related field
* A qualification and/or background in information technology.
* Experience working in a Higher Education environment.
* Familiarity with digital platforms widely used in higher education, including Ellucian Banner, Ellucian CRM, Scientia Timetabling, ARGOS Evisions Reporting, and InPlace Placement System.
The postholder will be required to undertake the following essential compliance training: Orientation
Health & Safety, Data Protection (GDPR) and all Cyber Security Awareness Training. Other training may need to be undertaken when required.
Appointment will be commensurate with qualifications and experience and in line with current Government pay policy

Remote Working Policy
From the 1st of November 2024, DCU has operated its newly agreed Remote Working Policy. Employees may be approved for up to 2 days of remote working per week (or an appropriate pro rata amount for those part time). Any remote working arrangement will be reflective of the predominant on-campus working environment and the core University value of 'Student Focused'. Employees will be based on campus for the majority of their working week to ensure a sustained on campus engagement and experience. The terms of the remote working policy will apply.
