Job Purpose:
As Facilities Coordinator, you will effectively co-ordinate the day-to-day delivery of Facilities services whilst acting as the point of contact on all Facilities issues and ensuring services are delivered to the agreed service levels and to develop strong relationships with clients, at all levels.
Duties and Responsibilities:
* Operate site Help Desk system: Enter reported problems and issues onto database and action; liaise with the Landlord for communal areas, or via FM suppliers for main office areas.
* Complete site H&S inductions for all contractors, prior to any works commencing.
* Request Risk Assessments & Method Statements from all contractors, prior to any work being carried out on site.
* Carry out Health & Safety Inspections, documenting and dealing with all issues raised.
* Daily supervision of all mail functions, ensuring that all agreed service levels and service standards are met and complied with.
* Ensure that all mail and courier items are collected and distributed via the correct mailing systems, in sorting and delivering mail.
* Regular walk of floors to ensure there are no maintenance issues, trip hazards, cleaning issues. Ensure Meeting Rooms, kitchen points are tidy and organised at all or times and rectify any problems when necessary.
* Assist with catering requests and ensure meeting rooms are set up correctly.
* Manage & arrange all meeting room booking requirements using the database.
* Maintain the system, effectively communicating all meeting room confirmation details back to the booking client.
* Assisting in the coordination & preparation of meeting rooms.
* Liaison with all facilities related suppliers, focusing on the achievement of performance and value: Catering, Cleaning, Security, M&E, Health & Safety.
* Arrange all callouts with contractors and suppliers: Acting as point of contact for all suppliers attending site.
* Co-ordinate bookings of all offices and desks (if applicable), and ensuring daily inspections are completed, at stock supplies are at required level.
* Co-ordination of any on-site projects, including building works and office moves.
* Ensuring that all H&S policies and regulations are adhered to.
* Preparation and accurate completion of all mail services paperwork for inclusion within the monthly site report.
* Covering the main reception desk: greeting & addressing all clients/guests, visitor sign in process, issuing relevant security passes & advising on any specific H&S requirements. Answering calls that come in.
Person specification:
* Working accurately, under pressure, to tight deadlines with the ability to remain calm.
* Excellent customer service and calm compliant handling.
* Confidence in communicating effectively in a variety of written and verbal formats, with a diverse audience.
* IT Skills – Data Analysis, Word, Excel, Email and Web.
* Knowledge of local and international mailing arrangements.
* Confident in monitoring, recording and reporting on performance targets.
