Clerical Officer Grade IVQuality and Risk Management Department Permanent Contract, Full Time Hours.Principal Duties and ResponsibilitiesProvide high-level administrative support to the Quality, Risk and Patient Safety Director and Risk Manager.Review and quality check all incidents logged on the National Incident Management System (NIMS).
Prepare a daily report from NIMS on incidents awaiting approval.Maintain a log of incidents that require review and follow up.Ensure timely escalation of serious adverse events to the Quality, Risk and Patient Safety Director.Responsible for liaising with the HSE and NIMS national helpdesks.Provide in classroom/virtual training on the incident reporting process and completion of Electronic Point of Entry (ePOE) on NIMS.Assist with queries in relation to ePOE.Preparation of Quarterly and Annual Incident reports for relevant departments/committees.
Preparation of additional reports as requested by the Quality, Risk and Patient Safety Director and/or Risk Manager.
Provide administrative support to the Policy Approval Process (PAP).
Point of contact for all PAP queries.Assist staff with formatting and submission of Policy, Procedures, Protocols & Guidelines (PPPG's) to PAP.Ensure that all approved polices are uploaded to the MUH Intranet (MS Teams) and that old versions of policies are archived.Liaise with all relevant staff in relation to the update of PPPG's within MUH.Manage the Document Management System in relation to PPPG's once commissioned.Attend relevant meetings and ensure that minutes or records of meetings are prepared and followed up on behalf of the Quality, Risk and Patient Safety Director with relevant managers or departments.Processing of all Clinical Audit and Service Evaluation applications and escalation to appropriate senior manager for approval.
Point of contact for all Clinical Audit and Service Evaluations queries.
Assist with the arrangement and organisation of the annual Clinical Quality & Audit Improvement Day.Contribute and collaborate with members of the Quality Risk Management Team in reaching departmental and organizational objective(s).
Eligibility Criteria:Previous administrative experience of at least 3 years in a busy department.Proficient in the use of MS 365 and previous experience with web based platforms.Excellent verbal and written communication skills.Excellent organisational skills and strong attention to detail.Flexibility and adaptability as well as the ability to function effectively in stressful situations/circumstances.Pro-active approach with the ability and desire to learn new skills.Ability to work on one's own initiative or in a team environment.Good knowledge of clinical terminology.Closing Date: 1pm on Friday, 26 September 2025.
