Chemco Ireland Ltd is seeking an exceptional Executive Assistant to support our CEO in a senior‑level, high‑impact role at the centre of our organisation. This position provides high‑quality administrative, organisational, and strategic support, acting as a trusted partner to the CEO across day‑to‑day responsibilities, long‑term priorities, and interactions with internal and external stakeholders.
As Executive Assistant, you will manage complex schedules, communications, and projects while demonstrating outstanding discretion, professionalism, and judgement. You will build strong, collaborative relationships and operate as an extension of the CEO - anticipating needs, supporting strategic initiatives, and contributing to the overall effectiveness of the leadership team.
In addition to direct support for the CEO, this role also plays a key part in coordinating and supporting the wider Executive and Senior Leadership Team, ensuring seamless communication, alignment, and operational efficiency across the leadership group.
Core Responsibilities:
Executive Support:
* Manage complex and dynamic calendars, meetings, and scheduling priorities.
* Prepare agendas, briefing packs, minutes, and executive summaries to support informed decision -making.
* Handle confidential correspondence and ensure timely follow‑up on key actions and commitments.
* Coordinate domestic and international travel, itineraries, and logistics.
* Oversee expenses, budget tracking, and administrative reporting.
* Provide executive level administrative and coordination support to the wider Executive Team and Senior Leadership Team as required, as part of ongoing leadership coordination.
Communication & Stakeholder Management:
* Draft, edit, and proofread communications, presentations, and reports.
* Serve as a key point of contact for internal and external stakeholders, including senior leaders, board members, clients, and partners.
* Ensure smooth information flow between the CEO and the wider organisation.
* Build strong, collaborative relationships across the business to support effective communication and alignment.
Strategic, Project & Operational Support:
* Support the CEO with strategic initiatives, research, and preparation of analysis or recommendations.
* Assist with planning and coordination of leadership meetings, workshops, and company events.
* Track progress on key projects and ensure deadlines and priorities are met.
* Identify opportunities to streamline administrative processes and enhance operational efficiency.
* Contribute to cross-functional leadership projects and provide operational support to senior leaders where required.
Office & Team Coordination:
* Support onboarding and integration of new senior hires where relevant.
* Coordinate internal communications and updates on behalf of the CEO.
* Maintain accurate records, documentation, and compliance‑related materials.
* Act as a central coordination point for the Executive and Senior Leadership Team, ensuring alignment and smooth day-to-day operations.
Leadership, Partnership & Discretion:
* Act as a trusted advisor and extension of the CEO, anticipating needs and proactively addressing issues.
* Exercise sound judgement, confidentiality, and diplomacy at all times.
* Prioritise competing demands and manage sensitive information with absolute discretion.
* Represent the CEO and Executive Team professionally and uphold the highest standards of integrity and organisational values.
Competencies:
* Bachelor's degree in Business, Administration, Communications, or a related field (preferred).
* Additional certifications such as Executive PA Diploma, Project Management, or Advanced MS Office are an advantage.
* Significant experience supporting senior leadership or C‑Suite executives.
* Background in a corporate, fast‑paced, or highly confidential environment.
* Proven track record of managing complex workloads and high‑level responsibilities.
* Exceptional organisational and time‑management skills.
* Outstanding written and verbal communication abilities.
* High level of discretion, confidentiality, and professionalism.
* Advanced proficiency in MS Office, calendar/inbox management tools, travel/expense systems, and CRM/project platforms.
* Strong judgement, decision‑making, and stakeholder management skills.
* Personable, proactive, and able to build strong, trusting relationships.
* Resilient, adaptable, and comfortable navigating ambiguity.
