Forsa is a membership led union who have engaged ICE Group to recruit a part-time Administration Assistant for their Galway Office. Forsa empower workers to change their lives at work, build worker power by engaging every worker in the jobs and workplaces that they organise. Currently looking for an organised, energetic, and empathetic Administrative Assistant/PA to join the Health and Welfare Divisional team.
Overview of the Role
As an Administrative Assistant/PA, you work as part of a team of trade union officials, operational and administrative colleagues, and members to support Forsa’s mission to empower workers. You are a first point of contact for member queries by phone or email, demonstrating empathy and efficiency. You assist officials with complex document preparation, correspondence, member communications, and organising meetings and taking notes. You keep member information up to date and accurate in the member database, and use that data to help prepare reports. You actively contribute to Forsa’s positive and healthy workplace culture through supportive collaborative teamworking.

The initial salary for this position will be on the first point of the grade 4 scale (pro rated for part time hours):
€35,613 – €37,740 – €40,759 – €42,741 – €44,475 – €46,153 – €48,417 – €50,056 – €51,722; and two Long Service Increments: €53,296 -€54,911. Entry above the first point is possible in certain circumstances (for example, your current salary is above the starting point).

About Your Team
* You report to the Team leaders for your division; day-to-day supervision will be provided by the Assistant General Secretary in Galway; some direction may also be provided by the Senior PA in Galway. All staff are accountable to the General Secretary.
* You will work closely with one or more Assistant General Secretaries or Industrial Officers, Assistant Industrial Officers, and Administrators.
Key Responsibilities and Duties
* Answer and direct queries (by email and phone) from a variety of internal and external stakeholders, including members, potential members, union staff and officials, elected officers, employers, suppliers, and others
* Provide efficient and accurate administrative support as part of a team, including document preparation, preparing and sending correspondence, sending member communications on behalf of the union, preparing and sending bulk mailouts, and printing, copying, and filing
* Helping to ensure that member data is up-to-date and accurate in the membership database
* Preparing and updating reports
* Assisting with ballots and elections
* Coordination and scheduling of meetings; assisting with diary management and meeting set-up
* Participation in reception cover rota
* Providing occasional cross-functional cover to support the needs of the broader Galway team
* Other reasonable administrative duties as may be required
Location
The position is based in Forsa’s Galway city centre office. Hybrid work arrangements are available subject to operational requirements.
Travel
Very occasional overnight travel within Ireland (less than 10 days per year). Occasional travel to member employments and other Forsa offices; ideally the successful candidate should have a full driver’s license and access to a car. Travel and Subsistence payments are made within the Civil Service rates and conditions.

* You have good writing skills, and experience writing letters and other correspondence in a professional setting
* You pay attention to the details and like to identify ways to improve how you do things at work
* You are efficient and good at planning your tasks and time
* You are highly skilled at the Microsoft Office suite (Word, Excel, Forms, PowerPoint, Outlook, and Teams)
* You are comfortable working with databases
* You are comfortable using technology and enjoy learning new skills
* You have good judgment and can be trusted with sensitive information
* You have permission to work in Ireland
