Irish Girl Guides (IGG) is recruiting an Accounts Assistant for the Guide Shop and Distribution Centre based at National Training Centre in Tallaght. The Guide shop sells uniforms and badges plus other merchandise primarily to members of the organisation via online and click and collect sales. The focus of this role is the administration of the systems and processes behind the retail work with emphasis on accounts admin.
The Irish Girl Guides' mission is to enable girls and young women to develop to their fullest potential as responsible citizens of the world. This is achieved by the volunteer Leaders running a non-formal educational programme with 500 units across all counties in the Republic of Ireland.
Key objectives of the role
Accounts Responsibilities
1. Managing day-to-day finance tasks: processing invoices, verifying accuracy, timely payments, purchase orders, and data entry (Sage 50)
2. Sales Order Processing including stock and purchase management
3. Build supplier relationships and source new suppliers
4. Preparing monthly reconciliations, salary data, and Finance Committee reports
5. Supporting year-end accounts prep for auditors
6. Monitor and propose price changes in stock
7. Bi Annual Inventory Check
8. Liaising with the Senior Accounts Administrator to resolve payment discrepancies or issues
Other responsibilities
9. Ensure and deliver the highest standard of customer service to every customer via phone and email
10. Track orders and process customer returns
11. Support Guide Shop Assistants during busy periods and holiday cover
12. Liaise with CEO and Finance Committee on budget and pricing policies
13. Other ad hoc duties as requested by the Chief Commissioner or line manager
14. Operate within the policies and procedures of IGG
Key Essentials
15. Previous accounts experience essential
16. Ability to always communicate with team members and suppliers in an effective, pleasant, courteous and tactful manner
17. Proficient in the use of MS Excel and Word
18. Good knowledge of Sage 50 accounts or similar accounting and stock control package
19. Knowledge of uploading content to WordPress would be an advantage but not essential
20. High level of integrity and rapid following up of all tasks is key
