We are currently seeking an Administrator to join our team, supporting the finance function through a variety of administrative tasks including client manloader production, system administration, expense processing, and other ad hoc duties as required.About you:The candidate must be based in Ireland to be consider for this position1-2 years of administration or office based experience in a similar sized business preferableGood organisational skills, able to prioritise effectively & escalate as necessaryProactive & effective communicator, able to communicate both internally within the business and externally to clients & customersTeam player, ability to work both independently and collaboratively with other team members, in pursuit of finance objectivesCompetent IT skills, including a proficiency in the use of excelContinuous improvement mindsetInterest in pursuing a career in business and finance preferableAbout the job:Production of Manloaders for invoicing to clients:Use project management system to obtain up to date timesheetsFollow up with employees missing timesheetsUsing Manloader templates provided by clients input hours on weekly basis for review by accounts receivable specialistWork closely with accounts receivable specialist and client partner on approval of manloaders prior to invoicing to clientsEnsure high degree of accuracy in hours entered and rates applied based on each clientSystem administrator for the ERP system:Keeping staff records up to date – adding new starters and removing leaversSending new starters training on the basics of using the systemBecome superuser on the system and assist with user issues across the businessAdminister company expenses process:Review Revolut on weekly basis and ensure adequate supporting receipts for each purchaseCompile travel expense summaries by project for re-billing to clientsRaise purchase orders to send to suppliersSupport Sustainability committee with quarterly data and reporting requirementsGeneral office administration tasks – printing, scanning, arranging courier.Weekly and monthly analysis and report productionAd hoc support request from other members of the finance team.Drive process improvements in areas of responsibility and through engagement with the finance team as a wholeOwn procedure documentation in areas of responsibilityWhy Join us?At Ethos, we're dedicated to fostering an environment that encourages bothtechnical excellence and personal wellbeing.We offer:Flexible Fridays and a 9-day fortnight working schedule — enjoy every second Friday off to maintain work–life balance.A state-of-the-art office in Charlemont, Dublin 2, designed to promote collaboration, innovation, and wellbeing.A culture that values flexibility, learning, and teamwork, with clear progression pathways and support toward professional accreditation .Opportunities to work alongside some of the most experienced engineers in the industry, within a forward-thinking, technology-driven consultancy.Benefits:Flexible working times (in agreement with your Direct Manager)Pension SchemeTravel tax scheme or bike-to-work schemeRegular training/mentoring / further college supportSubsidised Health Insurance AllowanceA Professional Subscription Fee paid by the companyPaid Statutory LeavesHealthcare check-ups and flu vaccinationsGym / Fitness membershipHeavily subsidised social committee (5 a side, golf society, climbing club and regular social events)Here at Ethos we believe in equal opportunities and that each individual can bring something 'WoW' to our organisation.
