Clerical Officer Location: Dublin or Galway Duration: Temporary assignment, approximately 8 weeks Role Overview We a seeking a temporary Clerical Officer to support the team with a range of important administrative and scheduling duties.
This role requires a highly organised and proactive individual who is comfortable working in a fast-paced, team-oriented environment while managing multiple priorities at once.
Key Responsibilities Scheduling and Event Coordination Maintain and schedule visits in the CRM, planning at least six months in advance.
Efficiently coordinate assessment events for external contractors, ensuring workloads are consolidated to maximise the impact of each visit and minimise travel requirements.
Daily Administrative Support Manage the department's mainline phone and shared inbox, responding to approximately 50 weekly contacts.
Resolve the majority of queries independently, escalating specialist matters to policy leads where required.
CRM and Data Management Maintain certification scopes and process changes relating to clients and assessors.
Support a range of ad hoc administrative tasks, including website updates and periodic reporting activities.
Set up new clients and assessors in the CRM system and ensure all records remain up to date.
Skills & Experience Proven administrative experience in a busy office or team environment.
Strong organisational and time management skills, with the ability to coordinate multiple events simultaneously.
Proficiency in Microsoft Outlook and CRM systems; familiarity with Q-Pulse (or similar quality management tools) desirable.
Strong written and verbal communication skills.
Proactive, detail-oriented, and able to work independently while contributing effectively to a team.
