ProSource Group are working with a mechanical contractor who are seeking a detail-oriented and organized individual to join their team as a Office/Accounts admin The primary responsibility of this role is to manage the front desk phone operations efficiently while also ensuring the proper organization and control of all incoming and outgoing documents within the company. The ideal candidate will possess excellent communication skills, strong administrative abilities, and the capacity to maintain confidentiality. Responsibilities: Front Desk Phone Management: Answer and direct phone calls to appropriate individuals or departments. Handle incoming and outgoing mail and packages. Coordinate with other departments to fulfill administrative requests. Document Control: Receive, sort, and distribute incoming (soft and hard) documents, ensuring they reach the appropriate recipients promptly. Maintain electronic and physical filing systems for documents. Create and update document logs, tracking the movement of important files. Ensure all documents are properly labelled, indexed, and stored securely. Communication: Serve as a point of contact for internal and external inquiries related to documents or reception matters. Relay messages accurately and promptly to relevant parties. Collaborate with team members to facilitate efficient communication flow. Administrative Support: Assist with general administrative tasks, including data entry, scheduling appointments, and ordering office supplies. Provide support to other departments as required. Maintain confidentiality of sensitive information. Qualifications: High school diploma or equivalent; additional certification in office management or administration is a plus. Proven experience in a receptionist or administrative role, preferably in a corporate setting. Proficiency in MS Office Suite (Word, Excel, Outlook) and other relevant software. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively. Excellent verbal and written communication skills. Attention to detail and accuracy in document management. Ability to maintain confidentiality and handle sensitive information with discretion. Customer service-oriented attitude with a professional demeanor. Familiarity with document control procedures and systems is desirable but not required.
