Role Overview
We are seeking a highly organised, proactive Recruitment Administrator to support our recruitment consultants in the day-to-day running of their desks. This is a pivotal operational role responsible for ensuring that candidate and client administration is handled efficiently, professionally, and to a consistently high standard.
The successful candidate will play a critical part in ensuring consultants remain focused on business development and placements by taking ownership of administrative, coordination, and candidate management processes.
The person
This role will suit someone who's working in general practice or pharmacy and has a strong work ethic. You will be excellent at using Microsoft Word & Excel, Teams and have strong communication skills. You will be very organised and be a good multitasker.
Key Responsibilities
Candidate Administration & Data Management
* Accurately input, update, and maintain candidate records within internal CRM systems.
* Ensure all compliance documentation is recorded, stored, and tracked correctly.
* Maintain database integrity, ensuring information is current, accurate, and complete.
CV Formatting & Documentation
* Professionally format, proofread, and prepare CVs for client submission in line with company branding standards.
* Prepare candidate profiles, summaries, and supporting documentation as required.
* Ensure all documentation meets compliance, GDPR, and client presentation standards.
Interview Coordination & Candidate Screening
* Conduct structured screening calls and initial candidate interviews.
* Schedule and coordinate interviews between candidates and clients.
* Gather and record interview feedback, maintaining accurate records.
Call & Meeting Management
* Manage diaries, meetings, and interview schedules for recruitment consultants.
* Handle inbound and outbound calls, responding to candidate and client queries promptly and professionally.
* Act as a key point of contact for candidates throughout the recruitment process.
Process & Operational Support
* Support consultants with placement administration, offer documentation, and onboarding processes.
* Track key recruitment activity and maintain operational reports as required.
* Identify opportunities to improve administrative efficiency and process flow.
Candidate ProfileEssential
* Strong organisational and administrative skills with exceptional attention to detail.
* Excellent written and verbal communication skills.
* Confident telephone manner and professional interpersonal skills.
* Proficient in Microsoft Office (Word, Outlook, Excel).
* Ability to manage multiple priorities in a fast-paced environment.
Desirable
* Previous experience within recruitment, HR, or a high-volume administrative environment.
* Familiarity with CRM/ATS systems.
* Experience conducting screening interviews or candidate calls.
