BHSI has an exciting opportunity for an Executive Assistant who will provide advanced administrative support to the Chief Underwriting Officer (CUO) as well as other Executive leaders in the Global Underwriting Group and our Dublin office location. This role will proactively manage the Chief Underwriting Officer’s schedule, effectively anticipating and prioritizing everyday needs. This role will also manage the general duties for the office, coordinate internal and external events as well as occasionally assist with other teammates’ requests.
This role requires discretion, independent judgment and initiative. It would suit an enthusiastic and confident team player, who thrives in a fast-paced environment and can operate with little direction. You will have strong communication and time management skills and have previous administration and Executive Assistant experience supporting a global executive.
Duties & Responsibilities:
* Provide administrative support to senior executives.
* Provide diary management for the Chief Underwriting Officer, the Global Underwriting Group and local Executives including arranging meetings across multiple time zones.
* Coordinate travel arrangements including organizing accommodations, air/ground transportation, meetings, expenses, and logistics for team, as needed.
* Monitoring email correspondence, fielding inquires and requests, and escalating urgent matters as needed.
* Producing correspondence, memo’s, presentations, and reports both of a general and confidential nature on behalf of the executive team
* Booking and scheduling travel, and processing of monthly expenses
* Overseeing & supporting the day-to-day management of the Dublin office
* Coordinating events including team functions as well as customer engagement activities
* Any other administrative support required to support the teams’ priorities and activities.
Qualifications, Skills and Experience:
* 5+ years of executive-level administration experience
* Efficient time management and task prioritization with acute attention to detail
* Demonstrated ability to work on own initiative with little direction to identify problems and solutions
* Experience with organizing small- and large-scale events with internal and external stakeholders.
* Highly advanced skills using entire MS Office Suite, and experience with travel and expense applications
* Superior interpersonal, verbal and written communication skills
