Job Description
As a Recruitment Administration Assistant, you will assist and shadow our experienced recruitment consultants, gaining first hand insights into office operations, candidate and client interactions. This placement provides an opportunity to develop core skills in administration and communication, setting the foundation for a future career in office administration. The participant will work closely with the recruitment consultants, assisting candidates seeking new job opportunities.
* Assist with managing incoming phone calls and directing them to the appropriate department or individual.
* Assist with using Canva and creating Canva ads, saving job specs and job ads.
* Assist in scheduling and managing diaries for meetings and appointments.
* Address client and candidate enquiries, ensuring a positive and professional interaction.
* Assist with various administrative tasks including saving CVs on company templates and on company database, inputting and updating candidate notes.
* Handle sensitive information with discretion and maintain confidentiality at all times.
* Assisting with arranging interviews and confirming attendance.
* Assisting with advertising jobs and posting on company job boards.
* Assist with supporting the office with all Excel worksheets.
Role Description
This is a training and work experience opportunity; no prior experience in this role is necessary. Accredited and/or sector recognised training will be provided to support your placement. Participants are eligible to participate in the WPEP QQI Work Experience Module which was developed by the Education & Training Boards in collaboration with the Department of Social Protection. This optional module will fulfil your accredited training requirements for the WPEP. Formal Training: Participate in a structured induction programme to familiarise yourself with office protocols and procedures. Engage in internal courses focusing on office management and effective communication. Develop an understanding of administrative processes such as data management, scheduling, and confirming appointments. Using initiative and creative licence when advertising job ads on Canva or posting jobs on LinkedIn. Informal Training: Shadow seasoned professionals in managing office operations and client engagement. Gain hands-on experience in handling communication systems, including managing phone calls and emails. Receive continuous mentorship to build professionalism and workplace etiquette.
